This is an opportunity for a professional, confident all-rounder, happy to be the first point of contact for calls and visitors, to take the reins and offer full PA and Office Management support to the friendly team.   As a support member of staff in this dynamic and highly professional team, you will have a great deal of responsibility within the company and will report to Associate Vice President Finance, EMEA for the effective day-to-day management of the front desk as well as being directly responsible for EA duties to the Senior Leadership Team. This responsible position would suit an individual with a multitude of office admin skills, ability to handle confidential information and experience gained within a similar small to medium professional environment.  You will have superb communication talents and enjoy working under deadlines with accuracy.  A friendly, professional and warm team approach is crucial to fit into this fast-growing company. Key areas of responsibility: 

  • Managing the reception desk - answering calls, managing post, meeting and greeting visitors (inc US visitors from HQ)
  • Providing admin support to Executive team including but not exclusively: travel bookings, team functions, consolidating presentations, attend meetings as requested taking minutes and action points.
  • Managing diaries and expenses for the Managing Director/VP Carrier
  • Manages health and safety as well as fire regulations within the office supporting Facilities Manager
  • General administration including couriers, dealing with emails and stationary
  • General reception and administration duties
  • Supporting organising company events

Requirements for the role:

  • You will have typically 5+ years’ experience of working in a similar role in a fast-paced office environment, ideally with client facing experience
  • Mature and professional approach
  • Previous office/admin experience (preferably within Telecommunications but not essential)
  • Strong Microsoft office skills
  • Welcoming personable nature
  • Strong communication, both verbal and written
  • Exceptional Organisational skills
  • Professional telephone manner
  • Ability to perform under pressure
  • Initiative and hands-on approach
  • Demonstrates a flexible attitude and willingness to go the extra mile to help without being asked
  • Trustworthy and previous experience of working with confidential material
  • Great interpersonal skills, ability to interact with both ‘internal’ and external customers
  • Positive Attitude – reliable and dependable
  • Experience of using Concur
