Summary: 

The Sales Coordinator provides essential support to the sales team throughout the tendering and proposal process, ensuring timely, accurate, and high-quality bid submissions. This role is responsible for compiling information from multiple resources to prepare proposals, maintaining sales systems and documentation, and assisting with event coordination.

 

Requirements:   

  • Supports the sales team during the tendering process, including gathering, organizing, and formatting content for bid documents and proposals.
  • Compiles technical, financial, and contractual information from multiple resources into cohesive, professional submissions.
  • Manages and updates sales tracking spreadsheets, internal databases, and the CMMS (Computerized Maintenance Management System).
  • Coordinates and plans sales-related events, including client meetings, workshops, and internal team events.
  • Prepares, maintains, and updates sales materials, presentations, and templates.
  • Ensures compliance with company standards, client requirements, and submission deadlines during proposal preparation.
  • Coordinates with internal teams (engineering, operations, finance, etc.) to gather required information for proposals and prepare the cost assumptions for proposals.
  • Supports the sales team with administrative tasks such as document formatting, scheduling, and reporting.
  • Maintains accurate records of client interactions, sales opportunities, and proposal outcomes.
  • Attends work regularly and punctually, as scheduled or expected.
  • Complies with Employee Handbook, Code of Conduct and Company Policies & Procedures.
  • Presents, supports, and leads-by-example with a safety and quality-oriented attitude.
  • Performs spare parts and O&M sales, including preparing quotes, processing orders, and coordinating delivery.
  • Performs market intelligence analysis.
  • Implements and maintains commercial metrics (KPIs).

  • Follows safety and security procedures and determines appropriate action.  Reports potentially unsafe conditions and uses materials and equipment properly.
  • Ensures that safety is the most important function, follows safe practices while working.
  • Reinforces safe behaviors and eliminates “at risk” behaviors.

  • Ensures Job Hazard Analysis (JHA’s) occurs before scopes of work commence.
  • Adheres to and understands standard operating procedures.
  • Receives job- and task-specific training prior to work commencing.

  

 Qualifications:

  • Associate’s degree required.
  • Bachelor’s degree in related field preferred.
  • 3+ years of Engineering, Construction or Finance experience preferred.
  • Strong organizational and time management skills with the ability to handle multiple deadlines.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and comfortable managing spreadsheets and databases.
  • Experience with CMMS or CRM systems preferred.
  • Strong written and verbal communication skills.
  • Detail-oriented with a focus on accuracy and quality in documentation.
  • Ability to collaborate effectively across departments and with external stakeholders.
  • Domestic travel 5-15%

 

Anticipated base salary range: $68,000 - $85,000

 

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is bonus eligible.
