Summary: 
The Executive Assistant provides professional administrative support to their assigned Executive(s). The Executive Assistant is critical in managing the Executives’ time, travel, and calendar. This position is integral in ensuring organizational efficiency and is an essential to smooth business operations.
 
Requirements:   
  • Acts as a gatekeeper to screen calls, visitors, and drop-ins for internal employees and external individuals/companies.
  • Prioritizes and manages the Executives’ commitments and calendar for internal and external meetings/calls, conferences, and travel.
  • Coordinates virtual and in-person meetings, including confirming attendees, and as required taking meeting minutes and following up on action items.
  • Organizes, prioritizes and responding when required on behalf of the Executive in verbal and written communications.
  • Drafts/prepares memorandums, correspondence, agenda materials, and other documents of a highly confidential nature. 
  • Collects and analyzes information to draft letters, documents, and agenda materials.
  • Maintains an electronic filing system to maintain and organize files.
  • Proofreads, formats, and edits documents for accuracy and completeness.
  • Assists in the preparation of presentation materials in PowerPoint and MS Office.
  • Reconciles and submits expense reports.
  • Ensures materials and reports for signature are accurate and complete.
  • Schedules and coordinates meeting space and logistics for various meetings, including executive meetings, board meetings, external visitors, and candidate visits/interviews.
  • Coordinates external activities relating to outside memberships/committees.
  • Coordinates and arranges travel itineraries and arrangements for the Executive.  Must be able to plan complex itineraries and expedite last-minute changes, sometimes after regular business hours. 
  • Manages Outlook calendar requiring a high degree of balancing external/internal meetings and must be able to adjust and reschedule appointments on short notice to accommodate the needs of the Executive.
  • Coordinate with the senior executive team members to ensure a smoothly operating executive suite.
  • Proactively responds to a wide variety of requests.
  • Assists with the execution of company events (i.e., ordering group lunches, organizing recognition lunches, and other business-related events.)
  • Handles and manages materials of a confidential nature.
  • Attends work regularly and punctually, as scheduled or expected.
  • Complies with Employee Handbook, Code of Conduct, and Company Policies & Procedures.
Additional Responsibilities:
  • Presents/offers solutions rather than just raising problems.
  • Supports other Executive assistants as requested.
Qualifications:
  • High School Diploma/GED required.
  • Bachelor’s degree in business administration or other relevant discipline preferred.
  • 10 or more years of related experience with increasing responsibility supporting an executive-level staff preferred.
  • Ability to travel domestically 5 to 15% required.
  • High level of accountability using good judgment, professionalism, poise, and ability to maintain the highest level of confidentiality. 
  • Able to balance being assertive and efficient with composure and effectiveness in a fast-paced environment.
  • Clearly and confidently relay communications in an efficient and effective manner.
  • Advanced skills in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Able to read, analyze and interpret general business documents.
  • Skilled at proofreading, writing reports, and editing business correspondence.
  • Comfortable operating in an environment with highly confidential information/matters with the ability to use the utmost discretion.
  • Comfortable operating with significant latitude for independent judgment and initiative within agreed limits.
  • Ability to solve practical problems and deal with various concrete variables in situations with limited standardization.
  • Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.
  • Represents the Executive Leadership Team professionally with internal staff and external clients.
  • Requires broad knowledge of corporate operations and policies.
  • Functional competencies include attention to detail, business acumen, passion, prioritization, and excellence.
Anticipated base salary range:  $35.08 - $41.27 per hour
 
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is bonus eligible.
