Role Overview

The Associate Director, People Operations, reporting to the CHRO, excels in People Operations strategy, as well as effective execution in domains focused on HRIS & Technology, People Analytics, Compliance & Policy, Payroll & Benefits, and 401(k).  This individual will oversee HR data maintenance, analysis and reporting, HR systems, health benefits administration and record management.  This individual will bring expertise in the above areas and scale innovative practices with the changing needs of the business. 

Core Responsibilities:

  • Manage and lead operations to ensure effective delivery and execution of HR services and processes (e.g., on-boarding, off-boarding, background checks, visas, leave of absences, general employee questions, open enrollment, and annual compensation planning) with an emphasis on compliance and employee experience.
  • Coordinate the day-to-day administration of U.S. health and welfare benefits programs, Repertoire’s 401K plan, including management of any benefits-related audits.  Support oversight of payroll entries and audits optimizing technology and standard operating procedures.
  • Create and maintain employee policies, taking a modern, innovative approach to balance employee experience with legal requirements. Champion a consistently fair and harassment-free work environment in compliance with all US government regulations, including but not limited to: Employee Retirement Income Security Act, FLSA, FMLA, ADA, COBRA, OSHA, Worker's Compensation, and other applicable labor and/or tax laws and regulations.
  • Develop and manage relationships with external vendors, as needed, including oversight of annual benefits plan design, strategy, implementation, and negotiations.
  • Working with HR Business Partnership, process all leaves of absences, determine eligibility for various leave programs including Family and Medical Leave (FMLA) and MA PFML according to established guidelines, and provide employees with required timely notices. Work cooperatively with the Finance Department to ensure paychecks are accurately aligned to leave benefits.
  • Ensure our people systems and processes are correctly configured and fully leveraged, capturing valid and reliable information; address data integrity opportunities by training and partnering with stakeholders at all levels.
  • Assist in the evaluation of existing programs and recommend program improvements and enhancements.
  • Clearly communicate company policies and ensure they’re administered in compliance with all federal and state laws/regulations.
  • Serve as a senior point of contact for employee questions regarding company benefits, payroll, and other HR policies and procedures
  • Lead the planning, communication and execution of HR operational-related projects, including but not limited to the annual compensation process, open enrollment, policy handbook development, benefits harmonization.
  • Build relationships across the company to become a trusted subject matter expert and advisor.
  • In partnership with CHRO design reporting, analytics and dashboards to provide business intelligence needs in the areas of headcount, data changes, self-service usage, employment trends, etc.
  • Establish audit procedures for updating, validating, and correcting employee records or other related HR data.
  • Create documentation for processes and create training materials for users.
  • Coordinate with payroll teams to ensure proper data integrity, data transfer, and assist with reporting for data validation.
  • This position is based in Cambridge, MA and will be requested to work on-site two to three days a week.

Experience

  • Bachelor's Degree in Business or related field; MA/MS/MBA a plus.
  • 8 to 10+ year’s HR or business experience in positions of increasing responsibility.
  • Biotech or pharma industry experience strongly preferred.
  • Solid working knowledge and experience in core areas of HR operations including Employee Experience, Data analytics, HRIS, Benefits and Compensation, as well as ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and HR policies.
  • Demonstrated ability to communicate and build relationships at all levels.
  • Demonstrated success with leading continuous process improvement activities: review and development of process and procedures, analysis of improvement opportunities, metrics, and success measurements, and effectively driving implementation of improvements.
  • Advanced level of computer skills with ability to use advanced features of various software programs, including Microsoft Excel, PowerPoint, Word. ADP and/or HRIS experience, particularly in data reporting strongly desired. 
  • Ability to design and execute project plans, identifying interdependencies, and incorporating related communication/change management plans.
  • Excellent presentation skills, interpersonal, written and verbal communication skills.
