The ideal candidate will Plan and schedule upcoming ready-mix concrete orders across three geographical areas, booking future pours against plant capacity, truck availability, and crew resources. Serves as the primary point of contact for customers placing orders ahead of their pour date, ensuring each job is confirmed, resourced, and slotted into the production calendar before delivery day, and sets driver start times to align with each day's scheduled loads.

Duties and Responsibilities:
  • Build and maintain the forward order calendar across three geographical areas, balancing booked volume against daily production and fleet capacity in each area.
  • Confirm order details with customers in advance, including lead times, minimum order requirements, and cancellation/change policies.
  • Proactively flag scheduling conflicts, capacity overloads, or resource shortfalls for future dates and work with sales and operations to resolve them before the pour day.
  • Coordinate with plant management to plan crew, batch, and truck allocation for booked orders across all assigned areas.
  • Set and communicate daily driver start times based on the first scheduled load, drive time to job sites, and area-specific order volume.
  • Adjust driver start times as orders shift, are added, or are cancelled, keeping schedules current across all three areas.
  • Follow up with customers ahead of scheduled pours to reconfirm timing, quantities, or mix changes.
  • Manage a waitlist or standby list for fully booked dates and rebook orders affected by weather or plant downtime.
  • Maintain accurate records of all booked, pending, and confirmed orders in the scheduling system.
  • Communicate upcoming order volume and driver start times to plant and dispatch teams to support day-of planning.
  • Receive and enter customer orders for upcoming pours, capturing job site, mix design, quantity, pour date/time, and any special requirements.
  • Support forecasting and reporting on booked volume, lead times, and capacity utilization by area.

Skills Required:

  • Proficiency with order scheduling/CRM software (e.g., Command Alkon, Trimble, or similar) and calendar management tools.
  • Strong organizational skills and attention to detail when managing a high volume of future bookings.
  • Excellent phone and written communication skills for customer-facing order confirmation.
  • Ability to plan ahead and anticipate capacity constraints across multiple future dates.
  • Ability to manage and prioritize scheduling across multiple geographical areas simultaneously.
  • Familiarity with DOT hours-of-service rules as they relate to setting driver start times.
  • High school diploma or equivalent required; associate degree or industry certification a plus.
  • 2+ years of experience in order scheduling, customer service, or the ready-mix/construction materials industry preferred.
  • Understanding of ready-mix concrete mix designs, order lead times, and plant production capacity.
