    Reporting to the Senior Vice President of Human Resources, the Payroll and Total Rewards Manager is responsible for providing leadership to develop and execute a payroll and rewards strategy that optimizes our ability to attract, engage, and retain top talent at every level.

    Manages all aspects of payroll processing operations. Establishes and oversees payroll processes and procedures for routine processing, tax reporting, and internal financial requirements. Establishes policies and processes that ensure accurate wages, tax withholdings, and company deduction calculations. Develops and produces payroll-related statistical reports. Ensures accurate and on-time governmental reporting and compliance.

    This position will be based in the Company’s headquarters in Oak Brook, IL, and will be responsible for the day-to-day leadership of one Payroll Analyst and one Payroll Clerk. The position is eligible for a hybrid schedule.

     

    What You Will Be Doing: 
    • Responsible for the accurate and timely preparation, documentation, processing, distribution, and reconciliation of payroll for corporate and Distribution center employees and the administration of the payroll and timekeeping systems. The payrolls include both weekly and bi-weekly frequencies.
    • Ensure that the payroll functions comply with all national, state, and local laws, policies, and best practices. Oversee the day-to-day responsibilities of the payroll team, including payroll execution.
    • Manage the organization’s HRIS system, ensuring accurate and up-to-date employee data and maintaining data integrity and security.
    • Serves as the HR Technology subject matter expert and partners with business and IT Stakeholders to understand functional and technical requirements for integrations and security protocol.
    • Lead system administrator for internal workforce management tools.
    • Develop and implement suitable controls to ensure consistent accuracy in all data, reports, and analytics prepared or delivered and drive a culture of accountability and ownership for accuracy and attention to detail.
    • Responsible for ongoing compilation and reporting of employee data, including gross payroll, hours worked, time-off benefit accruals, tax deductions, turnover, incentive programs, headcount, time and attendance, EEOC, Vets 100 and EEO1 reports, etc.
    • Manage the base pay structure, ensuring market competitiveness and internal consistency; recommend adjustments to meet business needs. Provide regular and ad-hoc reports to support compensation and compensation-related analysis and assess the effectiveness of compensation programs.
    • Manage compensation projects from design through delivery, including market pricing process for all job categories and developing wage and salary structures and pay policies to provide motivation, incentives, and rewards for effective performance.
    • Partner across the people teams and with the business leaders to ensure compensation programs are designed and delivered in alignment with our talent philosophy.
    • Manage‌ ‌the‌ ‌disbursement‌ ‌of‌ ‌US‌ ‌payrolls,‌ ‌including‌ ‌benefits,‌ ‌taxes,‌ ‌401K‌ ‌activity,‌ ‌incentives/bonuses,‌ ‌and  ‌other‌ ‌related‌ ‌compensation‌ ‌adjustments,‌ ‌while‌ ‌ensuring‌ ‌compliance‌ ‌with‌ ‌federal,‌ ‌state,‌ ‌and‌ ‌local‌ ‌county‌ ‌regulations‌.
    • Manage the preparation of various payroll-related documents (i.e., bi-weekly payroll checks and electronic deposits, W-2’s, state withholding forms, reports, payroll registers, etc.), in compliance with federal and multi-state laws.
    • Review and resolve payroll issues, identify pay adjustments, perform wage calculations, and prorate for special payments.
    • Review the computation of pay and associated deductions for accuracy. Prepare required tax filings and other reporting.
    • Manage and coordinate the administration of garnishments, support payments, and other required withholdings through the HRIS system.
    • Respond to and resolve any inquiries regarding paychecks or payroll reporting.
    • Oversee the calculation and processing of special checks, reviewing, editing, and making necessary corrections and adjustments.
    • Assist in completing internal and external payroll tax, accounting, and total rewards audits.
    • Assists with enhancements to/utilization of HRIS. This includes assisting with project plans, resource plans, schedules, and implementation plans.
    • Work closely with finance, HR, and operations teams to improve processes and assist in designing systems, as well as directing the collection, calculation, and entry of data for accurate, scalable payment processing.
    • Continuously drives payroll and total rewards improvements, automation, communication, and education to support a positive employee experience.
    • Works with our Outside Payroll Service and Internal I.T. Department regarding all File Feeds going to and from the company’s HRIS system.
    • Responsible for coordinating participation in and accountable for the plan administration of the 401k plan, which includes year-end reporting, ADP/ACP compliance testing, communications to employees with plan changes and updates, and coordinating the enrollment processes.
    • Manage other projects or duties as assigned.
     What You Will Need: 
    • 7+ years of progressive payroll experience.
    • Multi-state payroll experience.
    • Previous management experience.
    • Advanced Excel skills – proficiency in V-look Ups, Pivot Table, and data formulation.
    • Ability to audit, reconcile, and balance a variety of HR/payroll data and transactions and perform analytics to present business data for decision making.
    • Large payroll system experience.
    • Third party services relationships management experience.
    • Superior problem-solving ability - Ability to analyze data.
    • Excellent communication skills, with ability to communicate effectively with employees at all levels.
    • Strong attention to detail.
    • Strong customer service orientation.
    • Ability to work effectively independently as well as in a team-oriented environment.
    • Bachelor’s degree in accounting, Business or Finance preferred.

    Salary Range: $90,000.00 - $115,000.00
