Description

Key responsibilities include:

  • Assist Investor Relations team with quarterly earnings process
    • Coordinate travel and meetings with analysts and investors and draft meeting schedules and details for NDRs
    • Host visitors, ensuring rooms are properly set up for IT and meals & beverages as needed
    • Maintain meeting records in Nasdaq IR Insight
    • Consolidate close reports and review and format presentations, standardizing all materials before printing and/or saving up to relevant folders
    • Maintain task tracker with due dates and responsible/accountable parties to flag delays or highlight notable items
  • Assist the finance team in preparing board materials and reviewing and managing upload to Diligent
  • Collaborate with key stakeholders to streamline team folders and file structure, file naming convention, email distribution lists, and access controls
    • Maintain a file noting location of recurring reports for executives, review reports for timely updates, and provide a clean, consolidated printed pack to the CFO
    • Print and bind books and reports as needed
  • Manage signatory process, including obtaining wet signatures and/or notarization as required on a timely basis and mailing required documents to requested parties
  • Help in enhancing current operating cadence, controls, and process, including improving desktop procedures, policies, as well as training materials
    • Assist with team OKR planning and execution
    • Follow up with relevant parties to ensure timely submission of deliverables in standardized formats and in streamlined submission process
  • Serve as the project manager and social chair for the finance team in managing team meetings, bonding events, budget, and expenses
    • Manage team calendar and communication, including providing detailed meeting notes and follow up items with due dates and objective and measurable targets
    • Arrange calls and meetings, including reservations and coordinating meal delivery as needed for meetings with internal team or external stakeholders

  • Extremely detail-oriented and organized with prior experience having managed complex calendars and planning process
  • Significant expertise in setting up automated processes to increase the effectiveness of the team and minimize room for error
  • Excellent multi-tasker who is always “on it” with stellar time and project management skills; understands the importance of planning in advance to meet deadlines that include multiple review points and iterations
  • Strong communicator, both written & verbal; reliable and responsive to email and phone communications
  • Highest level of integrity and good judgment, with the ability to effectively deal with highly sensitive, confidential information

Qualifications

  • Bachelor's degree in Finance or equivalent
  • Minimum 5 years of experience having supported finance executives; Notary a plus
  • Highly proficient with MS Office applications (Excel, PowerPoint, Outlook)
