Description
Role Summary
Provides support to the Property Manager in the day-to-day activities for buildings in the portfolio and assist in completing annual budgeted projects within budgeted amounts. The role pertains to administrative functions relating to property management and analysis of leases.
Core Responsibilities
• Embrace and pro-actively support the Pure culture of environmental sustainability, and corporate and social responsibility.
• Provide best in class customer service to customers, contractors and internal teams and support Manager(s) for the day-to-day operations.
• Work collaboratively and effectively with Accounts Payable, Accounts Receivable, Leasing, Finance, and Asset Management teams.
• Issue purchase orders (PO) as requested by Property Manager and send to vendor and process invoices related to all operating expenses. Manage and collect vendor set up forms on behalf of AP Team.
• Complete monthly accruals. Assist with annual budget process. Prepare and update the annual contract budget spreadsheet as directed by the Finance team.
• Read and understand leases to ensure accurate information is received and maintained for all customers. Administer lease related payments (i.e. tenant allowances.)
• Assist with the administration and tracking of customer move-ins and move-outs.
• Prepare service contracts and ensure administrative follow up of signatures and ensure rigorous monitoring of contract expiries).
• Regular maintenance and updating of customer and vendor information, timely coordination with CertiSync and assisting with customer follow up for HVAC Maintenance reports.
• Assist in coordinating site visits, tours and access for work related jobs to space with customers and Operations, Construction, Leasing, Asset Management Team or contractor access.
• Work closely with the Property Managers to prepare the necessary documents for the transfer of legal disputed files.
• Work with customers responsible for paying property tax bills. Request proof of payment from them and provide the necessary documents to the accounting team.
• Work with CX Team and Sustainability Team in distributing Pure notices to all customers, monthly and quarterly.
• Monthly maintenance of Utility Tracker, verifying customer move ins/outs and GLs.
• Other duties as directed.
Required Skills and Experience
• Preferred minimum of 3 years’ experience in the commercial property management industry with mid-large sized portfolio’s (industrial experience is an asset);
• Bachelor’s degree in business administration, project management, or industry related education an asset;
• Able to work in a fast-paced environment and handle multiple projects while maintaining accuracy;
• Collaborative team player with strong interpersonal and communication skills;
• Proficiency in Microsoft Office;
• Proficiency in Yardi or similar platform an asset;
• Strong analytical and problem-solving skills;
• First class customer service skills;
• Ability to deliver on assignments in a timely manner;
• Strong ability to manage time and prioritize tasks.
