Salary: $70,000+
Summary
The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer, ensuring efficient day-to-day operations and enabling the CEO to focus on strategic initiatives. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and priorities in a fast-paced executive environment. The Executive Assistant serves as a trusted partner, representing the CEO’s office with professionalism and confidentiality.
Primary Job Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings, coordinating logistics, and prioritizing appointments.
- Prepare, edit, and organize reports, presentations, and other materials for executive meetings and engagements.
- Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO.
- Arrange complex travel itineraries, accommodations, and expense reports with accuracy and efficiency.
- Track and follow up on key initiatives, deadlines, and deliverables to support the CEO’s goals
- Handle confidential information with discretion and maintain a high level of professionalism.
- Coordinate executive team and board meetings, including preparation of agendas, minutes, and materials.
- Support the CEO’s involvement in external engagements, including speaking events, client relations, and industry activities.
- Anticipate needs and proactively address administrative and operational issues on behalf of the CEO.
- Partner with other executive assistants and departments to ensure alignment and cross-functional collaboration.
- Proactively resolve scheduling conflicts.
- Handle game ticket management.
- Coordinate coffee and lunches on a regular basis to ensure schedule efficiency and uninterrupted workflow.
- Support the CEO and C-Suite with personal assistant tasks.
- Provide support to other members of the executive team, including scheduling, travel logistics, etc.
- Support other company projects and initiatives as requested.
Requirements:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 5+ years of experience supporting C-suite executives or senior leadership in a fast-paced environment.
- Exceptional organizational and time management skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- High level of discretion, professionalism, and judgment when handling sensitive information.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Zoom, Teams).
- Ability to operate with agility, composure, and reliability in a dynamic executive setting.
- Experience in a real estate, property management, or service-based industry is a plus.
