Ready to start a new chapter in your career? We’re looking for a highly organized and detail-focused Administrative Assistant to join our team in Enterprise, AL. The Administrative Assistant provides comprehensive administrative, organizational, and operational support to multiple departments and leaders across the complex. This role serves as a key liaison between management, employees, vendors, and external partners while ensuring efficient office operations, accurate reporting, effective communication, and timely completion of business activities. The Administrative Assistant is expected to deliver exceptional customer service, maintain confidentiality, and contribute to the overall success of the facility through proactive support and attention to detail.
Responsibilities:
- Provide administrative support to managers and department leaders across the complex.
- Prepare, maintain, and distribute reports, spreadsheets, presentations, and other business documents.
- Collect, organize, and analyze data for operational, personnel, and financial reporting.
- Assist management with recurring reporting requirements and special projects.
- Manage incoming correspondence, phone calls, emails, and inquiries in a professional and timely manner.
- Coordinate meetings, including scheduling, preparing materials, arranging meals, and managing meeting logistics.
- Arrange travel accommodations and maintain travel-related documentation as needed.
- Maintain records, files, and documentation in accordance with company standards.
- Assist with budget tracking, purchasing requests, invoices, and expense reporting.
- Order and maintain office supplies and coordinate office equipment and facility needs.
- Support employee engagement activities, events, recognition programs, and communication initiatives.
- Assist with data entry and reporting within SAP and other company systems.
- Support onboarding, training, and administrative activities as assigned.
- Exercise professionalism and confidentiality when handling sensitive information.
- Perform other duties and special projects as assigned.
What You’ll Need:
- Education: Associate degree, technical certification, or coursework in Business Administration, Office Management, Human Resources, Accounting, or a related field preferred. A combination of education and directly related experience may be considered in lieu of formal education requirements.
- Experience: Minimum of two (2) years of administrative, office support, or related experience preferred. Experience supporting multiple managers or departments is strongly preferred. Manufacturing, food production, or industrial environment experience is a plus.
- Skills: Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams; strong organizational and time management skills with the ability to manage multiple priorities; excellent verbal and written communication skills; ability to maintain confidentiality and handle sensitive information appropriately; strong attention to detail and accuracy; demonstrated problem-solving and critical-thinking skills; ability to work independently and collaboratively in a fast-paced environment; SAP experience preferred.
