COPE Program Assistant
Community Outreach and Patient Empowerment (COPE) is a Native-controlled, non-profit entity 501©3 based in Gallup, NM. COPE works closely with several Boston-based partner organizations, a global non-profit organization called Partners In Health (PIH) and academic teaching hospital Brigham and Women’s Hospital (BWH). COPE has an annual budget of $4.0M and a New Mexico-based staff of approximately 40 individuals.
Position Title: COPE Program Assistant
Reports to: FVRx Program Supervisor
Location: Gallup, New Mexico (based at COPE office)
Position Type: Full-time (may include evenings and weekends)
The COPE Program Assistant will work under the supervision and guidance of the FVRx Program Supervisor. The Program Assistant’s primary responsibilities will be to assist the staff with administrative support tasks such as copying, scanning, editing documents, and data entry. The Assistant will support meetings and special events, as well as assist with management and organization of electronic documents, files, and office supplies. In addition, the Assistant will support communications tracking/reporting, the coordination of meetings, as well as other administrative and grant reporting tasks.
The principal responsibilities of the position will include:
Assistance with program activities and events (80%)
- Assist with on-the-ground, support to partner institutions (e.g. IHS facilities, Navajo Nation, retailers, farmers markets) to support the implementation of FVRx across Navajo Nation in the form of meetings, trainings and workshops, development and dissemination of FVRx resources, and coordination across COPE teams and other technical resources. This will include:
- Communicating with staff and stakeholders through workshops (virtual/in-person), emails, in-person meetings and site visits to FVRx programs to support the implementation of FVRx, troubleshoot challenges, and assess ongoing progress;
- Supporting community advisor meetings comprised of former FVRx family participants to obtain ongoing feedback on FVRx improvements and coordination of recruitment, training and support to peer coaches.
- Helping with event planning (e.g. stakeholder meetings, trainings), including assisting and preparing required training or meeting materials, print-outs, and food/refreshment for events; attending meetings as needed for documentation and facilitating any follow-up communications.
- Assist in providing clear communication and transparency with COPE staff and supervisor to ensure quality and timely completion of activities.
- Assist with the management of the FVRx Voucher data, voucher processing, and distribution, which includes entering data and redemption information from participating Navajo FVRx retailers.
- Assist with MEQ activities such as COPE Program data entry (eg. FVRx voucher entry, surveys, feedback forms, etc).
- Assist with organizing COPE program materials and preparing program materials for the FVRx program.
- Assist with external and internal program meetings.
- Assist with editing program brochures, pamphlets, newsletters, and other program materials.
- Assist with COPE communications, which includes taking pictures at COPE events or activities for use in marketing/advertising, promotion materials, reports and dissemination materials, COPE curricula, etc. as needed.
Perform other duties as required including support for general COPE activities (20%)
- At least a year of relevant experience.
- Strong interest and motivation in a community and patient-centered approach to health.
- Possess strong communication skills (verbal, written, and active listening).
- Excellent organizational skills and ability to prioritize a variety of tasks.
- Ability to work under pressure and use of good time management.
- Self-starter with demonstrated maturity and judgment.
- Reliable and punctual.
- Ability to demonstrate professionalism and respect for the needs of our community, clinics, as well as COPE staff and partners.
- Must be willing to work on some weekends or after hours to coordinate special events (i.e. workshops, conferences, site visits)

- Willing to reside near or in Gallup, NM (location of COPE office).
- Must have own reliable transportation and be willing to use it for work travel, including making long work drives.
- Some college, Associate’s and/or Bachelor’s degree preferred.
- Local knowledge of Navajo culture and health system preferred.
- Knowledge of Navajo traditional foods.
- Fluency in the Navajo language a strong asset.
