About the Role

The Ergonomics Scheduler provides dedicated scheduling and administrative coordination for ergonomics services. This role serves as a primary point of contact for scheduling requests, supports timely communication among clients, service recipients, ergonomics providers, and internal teams, and maintains accurate scheduling and service documentation. The position is focused on ergonomics scheduling and coordination rather than general clinic front-office responsibilities.

Duties & Responsibilities

Ergonomics Scheduling and Intake

• Receive and respond to ergonomics scheduling requests through approved communication channels.

• Schedule initial appointments, follow-up appointments, and related ergonomics services based on provider availability and service requirements.

• Collect and verify required demographic, contact, referral, worksite, and scheduling information before confirming appointments.

• Manage appointment changes, cancellations, rescheduling, and waitlist activity promptly and accurately.

• Provide appointment confirmations, reminders, and approved preparation or access instructions.

 

Administrative Support and Documentation

• Maintain complete and accurate scheduling records in designated systems and trackers.

• Review requests for missing information and follow up with the appropriate contact to support timely scheduling.

• Upload, route, or document referrals, forms, and related records in accordance with established processes.

• Monitor scheduling queues, open requests, and pending follow-up items to help prevent delays.

• Support routine scheduling reports, status updates, and data-quality reviews as assigned.

 

Communication and Coordination

• Communicate professionally with clients, service recipients, ergonomics providers, and internal partners regarding appointment status and scheduling needs.

• Coordinate provider calendars, service locations, virtual appointment details, and other logistical information required for the appointment.

• Escalate urgent requests, service issues, complaints, or scheduling barriers to the appropriate leader or clinical contact.

• Maintain confidentiality and use discretion when handling personal, medical, employment, or client information.

 

Operational Support

• Follow established scheduling workflows, service-level expectations, documentation standards, and privacy requirements.

• Participate in team meetings, training, and process-improvement activities.

• Identify recurring scheduling issues and share recommendations that may improve accuracy, responsiveness, and the customer experience.

• Provide cross-coverage for ergonomics scheduling functions as assigned and perform other related duties based on operational needs.
