Description

Reporting to the Vice President of Development, the Development Assistant provides support to POST’s Major and Planned Gifts fundraising teams, with a focus on donor-facing communications, database support, prospect research, event support and process tracking.  

ESSENTIAL DUTIES

  • Provide administrative support for donor relations and the cultivation and stewardship of major and planned giving donors and prospects.
  • Provide support for POST’s major and planned gifts team including preparing donor contact materials, helping maintain accurate donor records in our database (Salesforce), and organizing harvest baskets for Summit donors.
  • Coordinate in-house mailings, including annual custom solicitation letters to major donors and pledge reminders.
  • Support the major gifts team on gift acceptance policy adherence for large gifts including tracking donor intent, gift documentation, and maintaining strong knowledge of all of the financial compliance aspects of large gifts.
  • Coordinate with the gift entry team by managing the processing and special acknowledgment letters for large gifts.
  • Conduct and oversee research on major and planned giving donors and prospects with/without the help of volunteer(s) and support Development team outreach to new, high-capacity donors.
  • Provide administrative and/or coordination support for Development team events, donor meetings, hikes and tours.
  • Coordinate internal meetings and agendas for Development, Donor Strategies, and Advancement meetings.
  • Support donor stewardship for a small portfolio of less active donors and reach out to newer donors to support further engagement by the Development team.
  • Screen donors through Wealth Engine and/or Windfall to generate donor and prospect lists that support major gift cultivation and solicitation strategies.
  • Support the Skyline Committee’s meeting logistics and functions, including assigning donor thank you notes to Committee members.
  • Provide general office and administrative support as needed.
SUPERVISORY RESPONSIBILITIES
  • Manage volunteers who support donor and donor prospect research, as needed.
KNOWLEDGE & SKILLS REQUIRED 
  • Excellent written and verbal communication skills.
  • Database experience in Salesforce or other donor databases a plus.
  • Proficiency with Microsoft Office, including Word, Excel, and Powerpoint, and Google Drive.
  • Ability to prioritize and effectively handle multiple tasks.
  • Prior experience planning or coordinating events preferred.
  • Experience supporting a large team and managing a variety of tasks and responsibilities preferred.
  • Excellent organizational skills and self-driven.
  • Able to work well in a team environment and to work under pressure in a professional manner.
  • Ability to interact with people of a variety of backgrounds, ages, and identities.
  • College degree preferred but not required; a combination of academic and work experience that supports the required skills for the position will be considered in lieu of a degree.
  • Valid California’s Driver’s License required.

PHYSICAL REQUIREMENTS

  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and strength to lift and carry materials weighing up to 15 lbs.; vision to read printed material and a computer screen; and hearing and speech to communicate in person and over the phone.
  • If physically able, should be enthusiastic about hiking over a variety terrains in order to accompany donors at events on POST lands.
  • This position requires limited evening and weekend work.
