SUMMARY  


The Office Manager is responsible for the office overall, to ensure that the office is running in an  

efficient and professional manner.  

ESSENTIAL DUTIES AND RESPONSIBILITIES  




Ability to carry out administrative duties such as answering phone calls and distributing  

messages, filing and closing client charts, billing foster parent payments and payroll completed  

monthly, entering and updating info in database and auditing other offices  

Proficient with personnel check-list, responsibilities and systems including Career Plug, assisting  

new hires, personnel action requests, assist with benefits, FMLA process, and background  

checks.  

Skillful with office procedures and expectations including greeting visitors, monthly safety check  

list and fire drills, ordering and organizing office supplies, arranging meetings, including meals,  

space, and clean up, building setups and maintenance, petty cash, and equipment upkeep and IT  

issues.

TRAVEL  




This position requires travel of approximately 25% of the time.  

Attend 2-3 retreats a year.  

Attend meetings in Nashville as needed.  

REQUIRED EDUCATION AND/OR EXPERIENCE  



High school diploma or general education degree (GED).  

Minimum of two (2) years previous administrative or secretarial experience.

Language Skills  

Ability to read, analyze, and interpret the most complex documents. Ability to respond  

effectively to the most sensitive inquiries or complaints. Ability to write speeches and articles  

using original or innovative techniques or style. Ability to make effective and persuasive  

speeches and presentations on controversial or complex topics to top management, public  

groups, and/or boards of directors  



Mathematical Skills  

Ability to apply advanced mathematical concepts such as exponents, logarithms, quadratic  

equations, and permutations. Ability to apply mathematical operations to such tasks as  

frequency distribution, determination of test reliability and validity, analysis of variance,  

correlation techniques, sampling theory, and factor analysis.  

Reasoning Ability  

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to  

interpret an extensive variety of technical instructions in mathematical or diagram form and  

deal with several abstract and concrete variables.

Proficiency in Microsoft Office suite (Excel, Word, Outlook)  

Skills necessary to learn Clarvida electronic systems  

Ability to work flexible hours consistent with program needs
