Client Service Representative
Description
JOB SUMMARY
Provide general office support for the veterinary practice. The Customer Service
Representative (CSR) is responsible for a variety of clerical tasks including greeting
clients/patients, appointment scheduling, preparing medical records, answering and
directing incoming phone calls, presenting and processing financial options, and
processing and balancing financial payments. Strong customer service skills are crucial
as the CSR is the initial contact for customers.
EDUCATION AND EXPERIENCE
• Preferred: Previous veterinary office or medical office experience
• Required: High School graduate or equivalent
KNOWLEDGE AND SKILLS
• Proficient in Microsoft Office software (i.e. Word, Excel, PowerPoint, Outlook)
• Must be able to learn various veterinary software applications
• Person in this position must be able to operate a computer, including basic typing
skills
• Proficient operation of various office equipment (copier, scanner, fax machine)
• Basic filing skills
• Effectively manage multi-line phone system
• Effective interpersonal communication skills
• Effective in multi-tasking (prioritizing and accomplishing tasks)
• Effectively handle stressful situations
• Maintain a positive work environment
• Excellent verbal and written English communication skills

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

• Maintain professional and courteous demeanor in challenging/stressful situations
• Maintain and manage communication between front and back office teams
• Utilize interoffice email communication, including the ability to add attachments to
emails.
• The ability to learn to prepare and maintain accurate patient medical records
• Greets and directs clients/patients
• Schedule and confirm appointments
• The ability to learn to process financial reports (daily, monthly, etc.)
• The ability to learn to process and reconcile financial payments
• The ability to learn to answer multi-line phone system and process calls
• Clerical duties such as filing, copying, and faxing
• Maintain order to public areas (waiting room, client restroom, etc.)
• Other clerical duties as assigned
PHYSICAL DUTIES AND RESPONSIBILITIES
• Frequently is required to Lift and/or carry objects up to 40 pounds from floor level
and above
• The ability to work in a stationary position at a computer for long periods of time
• The ability to stand, walk, stoop, bend, twist, kneel, crouch, and climb for long
periods of time
• Must be able to grasp, hold, and manipulate objects
• Possess vision abilities to detect, observe and assess, including close, distance,
color, and peripheral vision, as well as depth perception and the ability to adjust
focus
• Potential for exposure to zoonotic diseases
REPORTING RELATIONSHIP
• Reports to: Practice Leader or Practice Manager and/or DVM
Compensation $18.00-$19.00 depending experience.
