The Job at a Glance
A Typical Day
- Provide administrative support to senior leaders, managing multiple responsibilities and priorities in a fast-paced environment.
- Manage our leaders’ demanding schedules, coordinating calendars to resolve any scheduling conflicts.
- Coordinate travel arrangements and itineraries (domestic and international)
- Schedule and coordinate logistics for meetings, including conference room booking, dial-in confirmations, A/V needs, material and presentation preparation and catering.
- Assist in facilitating leadership communications including responding to emails, interacting with internal and external contacts, and creating prioritized projects lists for senior leader tasks.
- Coordinate meetings with our board of directors, including material preparation, onsite and offsite meetings and dinners.
- Prepare expense reports for multiple senior leaders.
- Distribute reports, data, and other information as directed.
- Work seamlessly with internal team members including fellow administrative team members, providing back-up and overflow support to other assistants and functions as needed.
- Order lunch for members of the leadership team upon request.
- Assist with company event coordinate as needed.
- Handle assorted personal requests of executives as needed.
- Assist with any other projects, inquiries, etc., as needed.
To Land This Opportunity
- You have 3–5 years of experience as an administrative or executive assistant to senior-level management, preferably in a high-growth organization.
- You don’t sweat under pressure and demonstrate integrity while handling confidential information.
- You have strong organizational and administrative skills, able to manage multiple priorities at once with high attention to detail.
- You are an excellent self-starter who likes to self-manage your workload, multi-task, and prioritize things in a fast-paced environment.
- You demonstrate resourcefulness, good judgment, and strong problem-solving skills.
- You know MS Office (Word, Excel, and PowerPoint), heck you consider yourself a master!
- You don’t have a problem saying no when needed but are always approachable and friendly, and people say you are a legend of professional demeanor!
- You’re an all-star communicator and are proficient in English (both written and verbal)
- You have a quality, high speed internet connection at home
