The Opportunity:

Reporting to the Scheduling Manager, the Associate Specialist partners closely with Supply, Trading, and other internal teams to coordinate and execute product shipments across rail, truck, pipeline, marine, and transload. This role is responsible for accurate system updates and ensuring the timely flow of revenues and costs through to settlement.
The Associate Specialist plays a key role in supporting the execution of trading activities by enabling efficient, on-time product movement and delivery. The ideal candidate thrives in a fast-paced, team-oriented environment, demonstrates strong prioritization and problem-solving skills, and can operate independently while collaborating effectively across functions.

Responsibilities:

  • Manage and support the end-to-end supply chain for refined and/or renewable products.
  • Resolve product supply disruptions resulting from planned or unplanned events, and develop solutions to complex issues.
  • Oversee inventory management, including scheduling activities and year-end inventory targets; monitor and analyze supply/demand balances and finished product inventory.
  • Act as the primary contact for an assigned book of business, coordinating scheduling and forecasting with counterparties, suppliers, and transportation providers (rail, trucking, marine, pipeline, and transload facilities).
  • Collaborate with Trading and internal stakeholders (Operations, Accounting, Credit, Risk) to ensure alignment on supply, logistics, and commercial activities.
  • Evaluate and optimize logistics modes and routes to improve efficiency and reduce costs across the supply chain.
  • Ensure accurate and timely execution of all scheduling processes, including system entry and maintenance of Bills of Lading (BOLs).
  • Validate and approve logistics-related invoices (freight, demurrage, detention, etc.), resolve discrepancies with vendors, and ensure accurate system entry of recoverable costs.
  • Manage month-end processes, including shipment verification, contract completion, and reporting accuracy.
  • Build and maintain strong internal and external relationships.
  • Provide ad hoc reporting and analytical support to management.

Education:

  • Post-secondary education or equivalent experience.

Requirements:

  • 2+ years of relevant experience in operations, trading, risk, or scheduling.
  • Proven ability to work and negotiate in a dynamic, fast-paced environment, including being on call 24/7.
  • Strong interpersonal and communication skills (written and verbal), with the ability to work effectively across all levels of the organization.
  • Proficient computer skills, including advanced Excel capabilities; experience with Allegro and/or GeoMetrix is an asset.
  • Strong analytical, problem-solving, and decision-making skills, with the ability to troubleshoot issues independently.
  • High attention to detail with the ability to prioritize tasks and meet deadlines.
  • Proactive and self-motivated, with a strong sense of initiative.
  • Ability to adapt to changing demands and thrive in a fast-paced, cross-functional team environment.
  • Customer-focused mindset with strong service orientation.
  • Demonstrated willingness to learn, continuously improve, and evaluate both successes and failures.
  • This is a fully in-office position.
