The Opportunity:
This administrative position, reporting to the Vice President of Retail, assists the Retail team in their efforts to maximize the profitability of the Retail business. This role provides administrative support to the Directors within the team.
Responsibilities:
Retail Director Support
- Create and maintain effective workflow and communications to assist in achieving departmental objectives.
- Ensure all receipts/charges are accounted for, submits spreadsheets with appropriate G/L coding to AP for processing.
- Monthly MG&A verification/allocation; cross verify all charges; submit all changes/re-allocations to appropriate BU’s as required.
- Meeting/Event Planning/travel arrangement
- Expense reporting
- Contract approval coordination.
Activity Support
- Maintains all retail site content accurately in all back office systems.
- Tracking of Business Review submissions, scheduling and results communication. Provide relevant updates and reports to District Managers (TMs), Directors and Regional Operational Managers (ROMs).
- Station updates
- Retail Initiatives and other activities (Retail Ops meetings, tradeshows)
- Collaborate with different business units within the organization to ensure various tasks are completed in a timely manner.
Finance Administration:
- Invoice payments follow up, requisition approvals.
Operations Support:
- Administrative Support as required.
- Brand Marketing agreement are submitted and communicated.
- Assist with Administration of various brand programs.
- Contracts- Provide monthly follow ups on upcoming contract renewals, new operator support and other amendments to the agreement.
Education:
Post-secondary education/ Certificate
Requirements:
- This role requires the incumbent to be highly adaptable; detail oriented and organized in order to effectively function in this cross functional and collaborative environment.
- Must be able to work independently but also within clear direction.
- Excellent communication skills, Microsoft Office with a focus on Power Point, Word, Excel and PowerPoint.
- Must be able to prioritize various tasks and responsibilities based on the needs of the business
