About the Role |
Under the general supervision of the Manager of Leasing & Property Development Manager, the selected candidate will be responsible for negotiating, managing, and administering terms and conditions of real estate leases and agreements for accounts located at Port Facilities. The Staff Property Representative is responsible for managing, administering and negotiating a diverse portfolio of property agreements, working with external and internal stakeholders such as PA Law, OFP, MBD, OSEC, Comptrollers, Treasury, Risk Financing, Environmental, Engineering, as necessary, to manage the entire lease cycle for lease negotiation, development, authorization and execution, to termination, extension or replacement. Critical functions of this position include negotiating lease terms and exercising oversight of tenant accounts regarding all lease compliance items. This role will maintain comprehensive documentation on all transactions and prepare negotiation/transaction summaries at the completion of transactions to document underlying circumstances, tradeoffs and rationale for positions taken. |
Responsibilities |
- Solicit appraisals and review results as needed for account portfolios.
- Maintain contact with tenants including regular on-site visits to each leased site, including discussions regarding business success/challenges.
- Maintain responsive communication with existing and prospective business stakeholders, with notes and documentation regarding contacts, and maintain a tickler system for follow-up.
- Take comprehensive notes during all meetings and calls to share with colleagues for consolidation.
- Work with Unit Managers on market analysis and make financial terms recommendations considering all relevant factors.
- Review accounts receivable monthly and follow-up with any assigned tenant who is not current in their payments.
- Perform regular review and audit of agreements to ensure that tenants are complying with reporting, investment, annual guarantees, and other requirements as outlined in agreements.
- Develop an understanding of each tenant’s business within their portfolio including, but not limited to, key business drivers and ongoing business trends and conditions.
- Conduct periodic visits in conjunction with Operations and/or other appropriate Port and agency personnel with the tenant at its premises to discuss the previously mentioned business trends and to visually inspect the premises, denoting any deficiencies related to the relevant agreement.

Minimum Qualifications |
- Bachelor's Degree, preferably in Business Administration, Real Estate, Financial Analysis, Economics, or a related field AND/OR a minimum of three (3) years’ work experience in negotiations, contract management, project management and/or leasing.
- Must have a valid driver's license.
- The selected candidate will be required to pass a Federal Security Background check and obtain a Transportation Workers Identification Credential (TWIC) to work in a maritime environment as required by Department of Homeland Security.
- Applicants must meet all performance and attendance standards and have completed all probationary periods.

Desired Qualifications |
- Demonstrated experience or knowledge of real estate negotiations including formulating negotiating positions and achieving financial goals.
- Demonstrated property management experience including, but not limited to, coordinating tenant move-ins/move-outs, monitoring accounts receivables, ensuring compliance with lease provisions, and creating and maintaining reports and records of a multi-tenant portfolio.
- Basic knowledge of industrial real estate, maritime, transportation, and distribution industries.
- Knowledge of leasing policies and/or commercial/industrial real estate practices.
- Demonstrated ability to understand financial analyses related to real estate transactions.
- Demonstrated experience in problem solving, project management and strong customer service/relationship management skills.
- Accustomed to and thrives in a deadline driven work environment.
- Demonstrated ability to take initiative and proven ability to multi-task.
- Excellent written and oral communication skills with demonstrated experience interacting with executive management both inside and outside the Port Authority.
- Proficiency with SAP or other Real Estate accounting software and Microsoft Word and Excel.
