We are currently seeking an Legal Administrative Assistant to join our Legal team on a 1-year contract!

We are seeking a detail-oriented and proactive Legal Administrative Assistant to join our in-house legal team on a 1-year contract. The successful candidate will support the General Counsel, Senior Law Clerk, Paralegal, and Legal Operations Specialist by performing a variety of administrative and legal tasks. This role is pivotal in ensuring the timely and accurate completion of legal processes and documentation.

Here’s what you’ll deliver:
  • Administrative Support:
    • Assist the legal team with various administrative tasks to enhance efficiency.
    • Maintain calendars and tickler systems to track appointments, deadlines, and court dates.
    • Serve as a key point of contact between the General Counsel and stakeholders, ensuring clear and professional communication.
    • Schedule and coordinate meetings, prepare agendas, and follow up on action items.
  • Document Preparation and Management:
    • Draft, revise, and manage documents and files, including business correspondence, employee communications (e.g., termination letters, written warnings), offers to settle, and supplier contracts.
    • Manage electronic signing workflows, maintaining and updating electronic signature infrastructure.
    • Implement contract approval workflows by reviewing contracts and coordinating approvals and signatures.
  • Litigation Support:
    • Create and maintain litigation files.
    • Develop and maintain legal precedents and templates.
    • Manage litigation timetables, coordinating with internal and external stakeholders.
    • Assist in preparing cases for trial, including organizing evidence and coordinating witness testimony.
  • Corporate Records Management:
    • Prepare and file articles of incorporation, amalgamation, and amendment.
    • Maintain and update minute books, including preparing and filing annual returns and minutes.
    • Prepare and file statutory corporate filings.
  • Claims and Liens Administration:
    • Administer claims and lien enforcement.
    • Prepare and register financing statements under the Personal Property Security Act and the Repair and Storage Liens Act.
  • Legal Compliance Projects:
    • Apply for, renew, and administer municipal business licenses.
    • Support renewal of registrations with the Ontario Motor Vehicle Industry Council under the Motor Vehicle Dealers Act, 2002.
    • Apply for and maintain registrations with the Ministry of Transportation.
  • Reporting and Analytics:
    • Provide reporting and analytics support to the senior team of Performance Auto Group.
  • Budget and Expense Management:
    • Assist in tracking the legal department's budget and managing expense reports.
    • Coordinate with the finance department to ensure accurate financial records.
What do you need to succeed?
  • University degree or college diploma
  • Strong understanding of Ontario's legal system and relevant legislation.
  • Excellent organizational skills with meticulous attention to detail.
  • Superior written and verbal communication skills.
  • Ability to handle confidential information with utmost discretion.
  • Proactive mindset with the ability to work independently and collaboratively.

***This compensation range will be based on knowledge and experience***
Job Type: Full Time - Contract
Compensation: $45,000 - $50,000 per year
