Summary:  
The Facilities Coordinator will provide administrative support within the department, and serve as a contact for interaction with external groups requiring facilities input and/or action.   
  
Essential Duties & Responsibilities:  
  • Perform as a system administrator for the Computerized Maintenance Management System (CMMS).
  • Create and reconcile preventative, corrective and general maintenance work orders completed by Facilities Dept.
  • Supervise the creation, maintenance, and reconciliation of complete equipment files.
  • Collect and organize technical data from equipment manufacturers, equipment users and engineering personnel.
  • Assist in the management of all purchase requisitions for Facilities Dept., to include collecting quotes from vendors or suppliers, submitting PR’s, tracking status of PO’s and approving invoices for payment.
  • Maintain all contracts and agreements for the Facilities department, tracking renewals and updating PO’s.
  • Assist in the management of Equipment Data Sheets to introduce new equipment/utilities, changes and disposals.
  • Provide Asset Numbers and Reference/Tag Numbers to various departments for inclusion in their documents and change controls.
  • Perform regular equipment file audits for completeness on behalf of Facilities department to ensure files are always audit ready.
  • Assist in regular tracking and reconciling of department expenses.
  • Provide training within assigned skill area, to co-workers on submission of work requests and generating work orders.
  • Provide reports, copies of records, and/or copies of work orders in support of various departments/individuals and regulatory inspectors.
  • Serve as a primary point of contact for the set-up of meetings and the restoration for the same.
  • Serve as a secondary point of contact should Facilities personnel be out of contact on radio.
  • Support incident investigations by providing requested documents and/or reports.
  
Interaction:  
The incumbent interacts with all departments and with local suppliers and vendors in support of maintenance activities.  
  
Education and Experience:  
  • 2 years of relevant Facilities workflow and documentation required
  • CMMS experience preferable

  • Exceptional and consistent organization skills
  • Proficient oral and written English communication skills.
  • Knowledge of cGMP requirements; general and with respect to Preventive Maintenance requirements within the pharmaceutical industry
  • Knowledge of the CMMS used to manage regularly occurring maintenance tasks for equipment and systems
  • Knowledge of quality systems and requirements as they relate to Facilities operations.
  • Ability to organize personal tasks and concurrently monitor assignments.
  • Ability to work closely with a diverse group of personalities, often while under pressure.

The base pay range for this role in California is $26.15 per hour to $35.96 per hour. This role is classified as non-exempt and eligible for over-time.   
   
The range is what we reasonably expect to pay for this role. The range considers a wide range of factors that are considered in making compensation decisions, including but not limited to: geographic markets, business or organizational needs, skill sets, experience, training, licensure, and certifications.
