The Orthodox Union (OU) is one of the largest Orthodox Jewish organizations in the United States. Founded in 1898, the OU supports a network of synagogues, youth programs, Jewish and Religious Zionist advocacy programs, programs for the disabled, localized religious study programs, and international units. The OU maintains a kosher certification service, whose circled U symbol, Ⓤ, is found on the labels of many kosher commercial and consumer food products.
Position Summary:
Yachad Chicago is seeking a part-time Administrative Assistant to support daily administrative, communications, and program needs for the organization. This role involves office administration, calendar and database management, communications support, and assistance with programs and events, including Shabbatons. Note: This position is not open to be fully remote.
Responsibilities:
General Administrative Tasks:
- Maintain and update the monthly calendar, including a virtual calendar for the community and a whiteboard calendar for staff
- Manage program registrations and invoicing, ensuring accuracy and timely follow-up
- Order, organize, and maintain program and office supplies
- Provide administrative and technical support to senior staff
- Assist with general administrative tasks as needed to support office operations and programming
- Order food for weekly programs and events
Communications & Outreach:
- Update the Yachad Chicago website on a bi-monthly basis
- Edit and format the staff newsletter on a weekly basis
- Review submitted forms to track absences and adjust forms to reflect upcoming events, staffing substitutions, and program needs
- Post updates, reminders, and announcements in WhatsApp groups
- Manage photos and media content, including organizing photo libraries and posting to Instagram and other media platforms as appropriate
Programming & Shabbaton Support:
- Provide administrative support for Shabbatons and Shabbat day programs, including preparation, organization, and follow-up tasks
- Assist with event logistics, documentation, and communication related to programs and special events
Data & Systems Management:
- Maintain and update MARS database, including events, programs, attendance records, intake information, and medical information
- Ensure accurate data entry and organization to support staff and program planning
Qualifications:
- Strong commitment to the mission and values of Yachad
- Highly organized with strong attention to detail and time management skills
- Comfortable working with technology, databases, and administrative systems
- Excellent written and verbal communication skills
- Ability to work independently and manage multiple priorities
- Experience in administrative or office management roles preferred
- Experience working in or familiarity with the disability community is a plus, but not required
