Position Summary:

The Travel Coordinator is responsible for arranging travel, accommodations (HOTAC), car rentals, and other Ornge related business travel for Paramedics, Pilots, AMEs and other personnel as required.  They will provide information, details, coordinate, maintain support, and monitor travel and logistics for employees.  They must adhere to the travel and expense policy and all travel must be pre-approved.  All expenditures must be properly allocated and direct billed invoices coded. Travel must be reconciled monthly to the credit statement.  Knowledge of travel software such as Uniglobe Travel is required.  They will liaise with Procurement on preferred hotel list and issues with vendors.  The position requires understanding of and works closely with Scheduling.

 

Responsibilities:

  • Book and confirm travel in a timely manner as required and approved. Ensure reservations are confirmed and prepared itineraries are met;
  • Provide support and respond to issues regarding travel scheduling, reservations, cancellations and general inquiries;
  • Prepare purchase orders, compare training related invoices with vendor contracts; follow up on the payment of invoices;
  • Complete monthly credit card reconciliations;
  • Ensure expenditures, refunds and travel credits are appropriately allocated;
  • Complete special reports, and participate on projects, as required;
  • Research travel options through preferred vendors in order to keep up to date on travel products (airline / hotel / car product offerings);
  • Liaise with service providers such as hotels, airlines, rental car services, etc.  First point of contact, ensuring professionalism at all times; and
  • Maintain detail logs / documentation for each booking, cancellations, credits and refunds.

Qualifications:

  • College Diploma or University Degree in Business Management/Administration/or related field;
  • 2 to 3 years of high volume travel coordination and/or logistics experience, or, equivalent combination of education and experience;
  • Knowledge of travel software or experience with Uniglobe Travel;
  • Demonstrated ability to meet applicable standards for quality and timelines;
  • Excellent Microsoft Office skills;
  • Team player with the proven ability to multi-task and exceptional planning and analytical skills;
  • Must have excellent customer service and communication skills;
  • Displays initiative and excellent problem solving skills;
  • Strong time management and organizational skills;
  • Ability to work well under pressure and independently with minimal supervision; and
  • Ability to do shift work.
