The Vendor Management and Contracts Specialist is a key contributor within Ornge’s Procurement team, responsible for handson contract database management and acting as a central conduit between internal stakeholders and external vendors.

 

This role combines immediate operational responsibilities with the opportunity to support the development and implementation of Ornge’s vendor management framework, which is currently in progress. The successful candidate will bring practical contract management experience, a solid understanding of vendor management principles, and strong stakeholder skills to help bring structure, consistency, and efficiency to vendor and contract processes.

 

The position requires experience, sound judgment, and the confidence to work independently while engaging with frontline staff through to Directorlevel stakeholders.

Key Accountabilities:

Contract Database & Contract Lifecycle Management

  • Manage and maintain Ornge’s centralized contracts database, ensuring accuracy, completeness, and timeliness
  • Oversee contracts across their lifecycle, including setup, amendments, renewals, extensions, and expiries
  • Track key contractual milestones and proactively notify stakeholders of upcoming actions or decisions
  • Support standardized contract administration practices from the outset


Vendor Management & Stakeholder Coordination

  • Act as a primary point of contact between internal stakeholders and external vendors
  • Coordinate and support vendor communications related to contracts, performance discussions, and issue resolution
  • Facilitate meetings and followups with vendors and internal teams
  • Build and maintain effective working relationships across frontline teams, management, and Directors


Vendor Management Framework Development

  • Support the development, implementation, and refinement of Ornge’s vendor management framework
  • Apply vendor management principles, including performance tracking, issue management, and continuous improvement
  • Contribute to system setup, process design, and documentation as the vendor management function evolves


Organization, Reporting & Continuous Improvement

  • Coordinate meetings, schedules, and deliverables with strong organizational discipline
  • Maintain clear, structured documentation and data fields to support reporting and transparency
  • Identify and propose opportunities for process improvements, efficiencies, and workflow enhancements


Qualifications
:

  • Postsecondary diploma or degree in Business, Supply Chain, or a related field
  • 5–6 years of relevant experience in contract management, vendor management, procurement, or a related function
  • Handson experience managing contracts and maintaining contract databases or tracking systems
  • Strong interpersonal and communication skills, with the ability to work confidently with diverse stakeholder groups
  • Excellent organizational skills, including prioritization, meeting coordination, and followthrough
  • Comfort working independently in an evolving environment
  • Experience in the public sector or broader public sector (asset)
  • Familiarity with vendor management systems, performance frameworks, or governance models (asset)
  • Basic understanding of database management principles (e.g., data fields, structure, reporting) (asset)
  • Strong technical aptitude and experience working with procurement or contract management tools (asset)
