The targeted salary range is supplemented by a competitive total rewards package. The salary offered to the successful candidate will consider a wide array of factors such as the individual’s skillset, level of experience applicable to the role and internal equity considerations.

Within this context, the Executive Assistant is responsible for coordinating and supporting the day-to-day administrative and operational activities of the Director. This role ensures effective, efficient, and confidential workflow management, acting as a key point of contact between the Director, internal teams, and external stakeholders.
Responsibilities:
- Coordinate and support the day to day operations of the Director, including proactive calendar and schedule management;
- Serve as the primary point of contact for internal and external stakeholders interacting with the Director;
- Manage the Director’s workflow by reviewing requests, ensuring appropriate documentation, and following up on approvals and action items;
- Track projects, documents, and workflow processes to ensure timelines, priorities, and deadlines are met;
- Draft, edit, and format correspondence, reports, policies, presentations, and other materials requiring a high degree of confidentiality and discretion;
- Organize and coordinate meetings, events, and travel arrangements, including preparation of agendas, materials, and minutes;
- Maintain and manage electronic documents and records in accordance with organizational policies and document control systems;
- Act on behalf of the Director’s on delegated matters and support special projects as assigned;
- Build and maintain effective working relationships with senior leaders, internal teams, and external partners and
- Perform other related duties as required.
Qualifications:
- Completion of a post-secondary program in a related field of interest is preferred;
- Minimum 5–6 years of progressively responsible administrative experience, preferably providing executive-level support, with experience in healthcare, aviation, or the public sector considered an asset;
- Ability to prepare correspondence, write reports, and prepare meeting minutes;

- Excellent organizational and time management skills with a demonstrated ability to manage multiple competing priorities;
- Strong analytical skills with the ability to assess requests, identify issues, and exercise sound judgment;
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Proven ability to work independently with minimal supervision while maintaining a high level of accuracy;
- Exceptional interpersonal and communication skills, with the ability to interact professionally with senior leaders and external partners and
- Demonstrated tact, discretion, and professionalism when handling sensitive and confidential information.
- Preference will be given to candidates with experience coordinating initiatives involving Tribal Councils and fostering relationships with Indigenous communities.
