Position Available:       IT Administrative Coordinator

Position Status:Full-time; Contract; Maternity Leave (2-year)

Location: 5310 Explorer Drive, Mississauga

Reporting To:Manager, Infrastructure, End-User Support & Cyber Security

Hours of Work:       Monday – Friday, 8:30 am – 4:30 pm

 

Position Summary:

IT Support Specialist:

  • Support, review and administrate new and current IT processes including finding deficiencies and recommending improvements.
  • Review of Blanket PO list.
  • Vendor engagement (quotes, timeline, billing/banking information etc.).
  • Create PO extension form and acquiring eSignatures (if required).
  • Review, update existing Agreements, acquire eSignature (sole source/single source, OECM, VOR, contracts etc.).
  • Ensure business reviews quote and acquire eSignature.
  • Create vendor Change Form (if new vendor or update to existing vendor terms/address/business name/banking info/HST #).
  • Create requisition in SAP and ensure correct workflow.
  • Follow-up with vendor once PO is issued to obtain ETA for product or renewal/license file.
  • Ensure goods have been physically received by Manager/Business Unit Manager and or packing slip.
  • initiate goods receipt process from a Procurement standpoint.
  • Ensure payment process has been completed by Accounts Payable.
  • Management of IT vendor accounts and PO numbers.
  • Management of valid IT Contracts.
  • Administration of Monthly P-Card reconciliation process. 

 

BCP and DR Lead:

  • Coordinate BCP plan initiatives including facilitate DR and Bugout initiatives such as scheduling, coordinating efforts and gathering feedback and findings.
  • Coordinate and prepare reports on DR and Bugout findings and provide input on improvements where appropriate.
  • Coordinate and assist in the short and long-term test planning and scheduling for IT systems each operational year including gathering feedback and findings. 

IT Asset and Access Management Lead:

  • Facilitate contract and order mapping in IT inventory system to match inventory to contracts and PO for better tracking.
  • Coordinating with helpdesk for asset tagging reconciling and warranty management.
  • Facilitate reconciling with Manager and Inventory Management over lifecycle management of assets including addition and disposal or release of assets.
  • Coordinating with IT and Business and Applications owner over consistent audit of account and application access as per the Ornge access control policy.
  • Coordinating with Business owners over account and group memberships on a consistent basis as per the Ornge access control policy.
  • Reporting on audits and facilitating access management enforcement with IT, the Business and Application owners.

IT Change Management Lead:

  • Update, manage and facilitate improvements to the change process through policy.
  • Liaison with various stakeholders involved in the change process for IT releases, patches, upgrades when required.
  • Work with the Infrastructure, End User Support and Cyber Security manager in ensuring user understand and follow the change management procedures and coordinate approvals, schedules and communications in relation to changes implemented in the Organization as they relate to IT.

Qualifications:

  • Bachelor’s degree or equivalent in a related field.
  • Minimum of 5 years of previous relevant experience.
  • Oral/written communication skills to make presentations, respond to information requests, reporting, correspondence, updates.
  • Ability to utilize computer applications such as word processing, spreadsheets, project scheduling, power point.
  • Tact and diplomacy to maintain liaison with wide variety of stakeholders, both internal and external.
  • Ability to effectively communicate information to various levels of management.
  • Level of influence and interpersonal skills which elicits response, input and cooperation from various stakeholders.
  • Working knowledge of MS Project.
