WHAT WE ARE LOOKING FOR
The Project Coordinator is an organised, enthusiastic, and detail-oriented team member who supports the delivery of events, broadcasts, and content projects. Working closely with Project Managers, Producers, and Creative teams, you will assist with logistics, documentation, supplier coordination, and on-the-ground delivery to ensure projects run smoothly from start to finish.
This role is ideal for someone early in their events or production career who is eager to learn, enjoys working across multiple workstreams, and thrives in a fast-paced agency environment.
YOU SHOULD HAVE
1–2+ years’ experience in an event, production, or project coordination role (or similar)
Strong organisational skills with high attention to detail
Confidence working across multiple projects and priorities
Clear and professional communication skills
High proficiency with G Suite (Docs, Sheets, Slides)
Degree or diploma in a related discipline preferred but not required
ESSENTIAL RESPONSIBILITIES
As a Project Coordinator, you will support the successful delivery of projects by managing the detail that keeps everything moving. You will assist with research, documentation, logistics, supplier coordination, and onsite support to enable your team to deliver seamless, on-brand experiences for clients.
Support Project Managers and Producers on client briefs to achieve the best solution for project and event requirements
Research venues, suppliers, and production solutions and prepare recommendations
Coordinate suppliers, including briefing, scheduling, and tracking services and deliverables
Assist with budget tracking, invoicing, and expenditure reconciliation
Prepare agendas, attend client and internal meetings, and take accurate meeting notes
Set up and manage internal and client-facing documents using G Suite
Track action items, timelines, and responsibilities post-meetings
Assist with briefing creative teams on design, editing, and content requirements
Support virtual speaker recordings, video editing workflows, and content production
Coordinate delegate registration and event logistics as required
Manage event kit resources, including packing, inventory, and onsite coordination
Support onsite delivery including bump in, build, show days, and bump out
Contribute to brainstorming sessions and new business pitches
Assist with post-event wrap-up, reporting, and analytics

HOW WE’LL TAKE CARE OF YOU
Our job titles may span more than one career level. The starting salary for this role is between $50,000 and $55,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as: training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.

Physical Requirements:
Individuals will be required to sit for the majority of the day and will be required to stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques required. Individuals will be required to travel via airplane, train, taxi, car and/or other means of transportation as needed.
