Role Summary:

We are looking for an Administrative Coordinator who is tech savvy, a team player who thrives in a fast-paced, dynamic start-up environment, enjoys wearing different hats, takes on tasks independently, exercises judgment and solves problems. The role requires strong organizational, administrative and communication skills, attention to detail, a keen sense of ownership, drive and a track record of delivering in the face of ambiguity and concurrent priorities that often shift.

We require an Administrative Coordinator who will go the extra mile to support our growing team. This will involve administrative responsibilities, including travel, calendaring, email management, meeting management, and other responsibilities as they arise. The Administrative Coordinator will be responsible for ensuring confidential documents are securely delivered. 

There will also be conference coordination and special projects. The Administrative Coordinator will bring a professional, lean approach to this position. 

Responsibilities:

  • Provides guidance, support, scheduling, organizational, prioritization and administrative assistance to the role.
  • A fast thinker who acts quickly on their feet, and can organize, prioritize and schedule the key leaders of a start-up. The ability to look into the future and anticipate needs and act on what is potentially needed before being asked is a required skill.
  • Provides calendar management for the people they are supporting.
  • Prioritizes inquiries and requests while troubleshooting meeting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Arranges and handles logistics for departmental meetings and events, including scheduling meetings, drafting agendas, and developing, compiling and distributing presentation materials.
  • Responsible for creating, modifying and assisting with the preparation of presentations for meetings as required. 
  • Acts as scheduler and a reliable conduit to other leaders within OmniaBio, CCRM, and other partner relationships.
  • Creates, develops and assists with special projects and initiatives, as needed.
  • Recognizes and implements lean initiatives. 
  • Designs, creates and distributes communications related to conferences and client visits; maintains communication portals and channels with deliverables and accomplishments to ensure personnel’s awareness of conferences and client visits.
  • Makes travel arrangements and processes travel expenses.
  • Assists with other office management activities, as required.

Qualifications:

  • Bachelor's degree or equivalent work experience; additional relevant certifications are a plus.
  • 5+ years experience providing executive-level administrative support.
  • 5+ years experience in event planning.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people. 
  • Able to complete a high volume of tasks and projects in a fast-paced environment.
  • Excellent judgment and able to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Experience working with lean initiatives.
  • Experience liaising directly with clients on behalf of the business.
  • Biotech and CDMO experience an asset.
  • Ability to handle sensitive, confidential information appropriately.
  • The ideal candidate will have strong written and verbal communication, administrative and organizational skills, and the ability to successfully balance and complete multiple concurrent priorities.
