About the Department

New York Road Runner’s Brand Marketing and Communications is charged with managing the organization’s creative services, editorial, advertising, and digital operations. The team’s efforts build upon NYRR’s recent brand initiative and Run for Life platform as the organization seeks to tell the bigger NYRR story of huge positive impact; our ongoing

focus on broadening our engagement with runners of all types; our efforts to strengthen our alignment with, and support of, our corporate partners; and our opportunity to unlock the power of our community in supporting our youth- and cause-related efforts.

About the Position

This is an exciting position responsible for supporting the administrative responsibilities for the project workflow for a busy, in-house creative services team. This includes tracking and communicating timelines, tracking, and communicating quotes and costs, processing invoices, and communicating with vendors and other departments to ensure timely completion of all creative projects. With light supervision, follow existing procedures to ensure timely and correct completion of high volume of creative projects.

Job Responsibilities (primary and secondary duties):

  • Maintain and communicate master schedule for creative development, production, and distribution for all departments of NYRR.
  • Communicate timelines, trafficking, and communicating quotes (from vendors) cost tracking for membership and development programs, Youth and Community programs, runner products, digital communications, and storytelling elements.
  • Maintain daily contact with the brand leads and cross-functional teams on the development and approvals of materials for the above.
  • Maintain daily contact with production vendors for quotes, samples, orders, proofs, delivery, and payment on materials associated with NYRR races in coordination with Studio Production Specialist and Director
  • Work closely with Marketing teams to develop, design and produce materials for all NYRR campaigns. Meet with marketing teams each week to provide status updates on all open projects, and refine timelines for active and upcoming projects
  • Manage tracking, and delivery, while coordinating with stakeholders on deliverables.
  • Coordinate deliveries and packing lists for special events and expos
  • Record invoices and process check requests before routing through to Finance
  • Work with Studio Director to reconcile events cost tracking and create projected budgets for future projects
  • Assist the Studio Director and the Studio Production Specialist with projects as necessary

Job Requirements:

Experience

  • 6+years of experience, preferably in agency or events environment
  • Microsoft Office for Mac (focus on Excel with functions, Power Point and Word)
  • Adobe Creative Suite (Illustrator and InDesign)
  • Google Docs – (Sheets)
  • Microsoft 365 – (Teams, SharePoint)
  • Project trafficking experience
  • Event production experience
  • Production design experience
  • Proven ability to learn new tools and technologies to support and implement new initiatives
  • Proven ability to work quickly, tracking the details of large volumes of fast-moving creative projects

Education & Certifications

  • Bachelors in related field (preferred)

Skills and Attributes

  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook)
  • Strong attention to detail
  • Excellent written and verbal communication skills

Other Requirements

  • Experience with Project Management tools, or use of standard business software and platforms for Project Management

Weekend Work Requirements

  • All staff are required to work the NYC Half Marathon, Brooklyn Half Marathon, and the TCS NYC Marathon.
