About the Department
The Development & Philanthropy Department leads the creation and execution of NYRR’s annual plan to secure financial support from individuals, foundations, and corporations. The department is responsible for expanding and diversifying the organization’s funder base, furthering the potential for future fundraising efforts, and the retention of the growing base of donors. Our NYRR Team for Kids (TFK) team oversees the TFK program of adult runners who commit to fundraising for NYRR youth and community programs. Our NYRR Membership team leads our membership program which enhances runners’ engagement with the running community and their experience at NYRR events.  
 
 
About the Position
Reporting to the Director of Team for Kids, this role will join the department to provide excellent and personal customer service for our TFK Members, support all registration processes and reporting, and event creation and maintenance in the database.  
 
 
Job Responsibilities (primary and secondary duties):
 
  • Manage Yearly Event Calendar: 
    • Create season timelines including registration open, fundraising deadlines, and event dates
    • Build events in TFK database (Haku), update contracts, and launch race pages on TFK’s website for 15+ annual events
    • Oversee event registration process, inclusive of communication, affiliate set-up and invitation code distribution, and registration support and confirmation
    • Oversee schedule for and sending of all registration reminders and communications
    • Track runners’ fundraising progress as a requirement for entry eligibility
    • Lead TFK team rosters confirmation and bib assign for all NYRR expos in partnership with the Race Scoring and Runner Services team
    • Lead TFK charge day execution and reporting 
  • Reporting: 
    • Build and maintain a comprehensive annual event tracker
    • Collect all information to compile into end-of-season reportsfor three major NYRR events
    • Ensure fundraising and registration numbers are tracked per event to create YOY comparisons 
    • Monitor and report registration numbers for all eventsandmeasure against targets 
    • Abbott World Marathon Major (AWMM) & other NYRR entries:
    • Support TFK in relationships with other race organizers
    • Draft charity programs and complete necessary race reporting
    • Oversee registration of TFK runners in all outside events
    • Support communicate registration and relevant race information to runners
    • Help plan team events in each AWMM location
  • Runner Support: 
    • Create a comprehensive Customer Service Guide for each TFK event
    • Work with team to answer runner inquiries in Team for Kids general inbox
    • Flag pattern in runner inquiries to proactively adjust TFK communication and/or policies
    • Act as an escalation point for customer service for cases by Runner Services 
    • Provide unparalleled support to high-level and specific TFK member questions 
  • Database:
    • Serve as lead for maintaining the front end of the TFK website and its connection to the back-end system
    • Play a key role in future conversion to a new database
    • Act as database/TFK website super user and train team on database functionality
    • Support the production of departmental events throughout the year, in both planning and execution (some evenings and weekends required)
Job Requirements:
Experience: 
  • Previous customer service experience required
  • Previous non-profit fundraising &/or operations (financial or administrative) experience preferred 
  • Minimum of 3-5 years professional experience 
  • Knowledge of and passion for the running community preferred, but not required
 
Skills and Attributes: 
  • Knowledge and experience in project management 
  • Comfortable with data, proficient in excel and able to easily create reports 
  • Superior interpersonal skills and organizational abilities 
  • Ability to inspire participants and volunteers of various backgrounds 
  • Excellent oral and written communication skills
  • Ability to problem-solve quickly 
  • Self-starter with high initiative
  • Strong computer skills, including Word, Excel, and PowerPoint, required 
  • Ability to collaborate and work with and across teams   
  • High attention to detail 
  • Ability to work occasional weekends or evenings

Other Requirements:
  • All staff are required to work the United Airlines NYC Half Marathon, RBC Brooklyn Half Marathon, and the TCS NYC Marathon.
  • Operate on a hybrid schedule, with two days per week in the NYRR office in NYC.
 
Salary: 76K
