About the Department

Office & Space Operations manages the daily operations of the NYRR spaces and is responsible for establishing and maintaining efficient office systems, processes, and procedures. The team ensures the functionality of equipment, common areas, and resources in all spaces, and coordinates maintenance and security needs. The team is responsible for the effective oversight of the space footprints of all NYRR teams, for managing the centralized retention and storage process, and for managing all physical assets and inventories.

About the Position

This position will report to the Vice President of Human Resources and Office Operations, with the core responsibility of leading space operations, and establishing all systems and procedures to facilitate efficient, seamless space operations for the organization.

Job Responsibilities:

  • Manage the team providing day‐to‐day operational support at all buildings to ensure effective communication, provision of services, and efficient usage of common area space.
  • Prepare and manage the Facilities and Occupancy budgets, analyzing costs and forecasting future needs.
  • Manage vendor relationships including building management, external service providers, and key contractors.
  • Establish organizational efficiency by effectively planning and implementing office systems, layouts, and equipment procurement, revising processes as needed with a focus on efficiency.
  • Overall space management to ensure effective use of each team’s space footprint within NYRR’s real estate.
  • Manage centralized storage and document retention process.
  • Oversee the implementation of a physical asset inventory and historical archive.
  • Oversee the maintenance and alteration of buildings and equipment, as well as layout, arrangement, housekeeping, and security of all spaces.
  • Negotiate the purchase of services, supplies, furniture, and equipment for the entire staff in accordance with company purchasing policies, budgetary restrictions, and inventory control.
  • Manage, coach, and mentor staff.
  • Participate in orientation and training of new staff members; oversee physical aspects of onboarding process.
  • Implement procedural changes to improve operational efficiency.
  • Maintain a safe and secure working environment.
  • Work closely with Human Resources to schedule and organize staff events and parties.
  • Miscellaneous duties as assigned.

Job Requirements:

Experience:

  • Minimum 10 years’ experience in a position requiring leadership, analytical skills, and expertise with Office Operations management.
  • Bachelor’s degree preferred in a related area.
