About the Department
The Office & Space Operations (OSO) team manages the daily operations of the NYRR spaces and is responsible for establishing and maintaining efficient office systems, processes, and procedures. The team ensures the functionality of equipment, shared areas, and resources in all spaces, and coordinates maintenance and security needs. This includes maintenance and alteration of buildings and equipment, as well as layout, arrangement, housekeeping, and security of all spaces. The OSO team interacts with vendors including building management, external service providers, and key contractors. The team is responsible for the effective oversight of the space footprints of all NYRR teams, for managing the centralized retention and storage process, and for managing all physical assets and inventories for all locations at 56th Street, the RUNCenter, and Warehouse.
About the Position
The Receptionist-Coordinator, Office & Space Operations reports to the Director of Office & Space Operations and is responsible for providing administrative and operational support to the larger New York Road Runner team. This role is a full-time position, in-person, 40 hours per week. This role is needed Monday-Friday 8:30am – 5:30pm.
Job Responsibilities:
- Serve as the face of corporate headquarters of NYRR, answering/directing incoming calls, as well as greeting, directing, and assisting staff guests & vendors
- Interact with and support staff at the organization with building-related needs in a collaborative manner
- Coordinate and log physical on‐boarding and off‐boarding process in collaboration with Office & Space Operations
- Perform on-boarding and offboarding tasks
- Coordinate and log incoming and outgoing mail, packages, and deliveries
- Assist OSO team with maintaining office supply and pantry inventory and ensuring distribution of supplies around office
- Assist with conference room management and meeting set-up
- Coordinate office service requests, deliveries, and shipments
- Miscellaneous duties as assigned
Job Requirements:
Experience:
- 1‐2 years of administrative and customer service experience
Skills and Attributes:
- Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook)
- Strong attention to detail
- Excellent written and verbal communication skills
- Familiarity with web‐based project management and scheduling systems
- Outstanding writing, proofreading, and data entry skills.
- Ability to thrive in a fast‐paced, rapidly changing environment.
- Ability to interact effectively with diverse groups of internal and external stakeholders
- Strong commitment to diversity, equity, and inclusion
- Professional positive and friendly demeanor
- Ability to lift approximately 25‐30 lbs.
Other Requirements:
- All staff are required to work the NYC Half Marathon, Brooklyn Half Marathon, and the TCS NYC Marathon.
Salary: $55,000/year
NYRR requires all employees to be vaccinated against COVID-19 unless approved for a medical or religious exemption.
