Position Summary:

The Associate Vice President for Advancement Operationsoversees the critical systems and processes that ensure the smooth operation of the Advancement division and consistent, accurate, timely, and thoughtful communication with NYBG’s donor constituencies. These include gift processing, data management, donor stewardship, prospect research, and digital communications, as well as analyses to support data-driven decision making. The AVP for Advancement Operations reports to the Chief Advancement Officer and manages a team of six full-time employees. This is a critical leadership role that works closely with peer team leads across Advancement, Finance, IT, Marketing, Visitor Experience, and other areas to develop, maintain, and improve infrastructure and workflows. The AVP for Advancement Operations centers our donors’ experience while translating fluently between teams and systems, with the ultimate goal of making it quick, easy, fun, impactful, and meaningful for anyone to donate to NYBG. 

 

 

Specific Duties & Responsibilities:

  • Ensure that donations are booked and receipted quickly and accurately 
  • Oversee donor database (Raiser’s Edge), managing the Manager of Advancement Operations and Data Analytics to maintain and fully leverage database, and partnering with colleagues across NYBG to ensure smooth integration with other institutional systems and platforms 
  • Manage the development and timely execution of reporting on various dimensions of NYBG’s fundraising, including weekly revenue reports 
  • Oversee prospect research across multiple scales, including acquiring and analyzing large datasets to surface and assign new prospective donors to gift officer portfolios, as well as gathering and synthesizing data on specific prospective donors to prepare best-in-class research briefings to support frontline fundraisers. 
  • Manage the Senior Director of Donor Stewardship and team to ensure all stewardship communications and programs are compelling, innovative, impactful, and fully integrated across all areas of Advancement 
  • Manage expense budgets prudently and impactfully 
  • Record, teach, and uphold best practices across Advancement 
  • Partner with the Chief Advancement Officer to continually improve on the operation of the Advancement Division, managing goals and metrics for all team members, and regularly measuring progress toward goals 
  • Serve as Advancement liaison to various NYBG teams (Finance, IT, etc.) to ensure Advancement needs are met and donor experience is prioritized 
  • Special research and analysis projects and other responsibilities as assigned 

 

 

Qualifications:

  • Minimum of ten years of experience in development operations and/or related areas 
  • Comprehensive knowledge of nonprofit gift accounting practices 
  • Demonstrated management experience required; experience managing software vendors also preferred 
  • Exceptional organizational and project-management skills, with the ability to balance short- and long-terms project timelines 
  • Strong written, oral, and interpersonal communication skills 
  • Exceptional analytical skills and a commitment to data-driven decision making 
  • Demonstrated commitment to building and improving complex systems and processes 
  • Flexibility and ability to work independently and as a team player with colleagues at all levels and external constituents, including vendors, donors, and volunteer leadership 
  • Advanced proficiency with Raiser’s Edge and/or comparable CRM required 
  • Proficiency with Microsoft Office programs required (particularly Excel), fluency with Copilot preferred 
  • Proficiency with Accesso (Dexibit and SiriusWare), Cuseum, and/or Unit4 all preferred 
  • Valid driver’s license 

 

 

Physical Demands & Work Environment:

While performing the duties of this position, the employee is required to, at minimum, stand, walk, sit, and spend significant time in front of computer. 

 

Employee will occasionally need to work outdoors under a variety of weather conditions, and occasionally work under moderate or loud work conditions to support departmental and institutional events.

Baseline Work Schedule:

Monday through Friday, 9am to 5pm. Hybrid work options are available for this role. Additional hours, including occasional late nights for donor events and key deadlines, are required. 

 

Salary: Commensurate with experience within the range of $150,000-$170,000.
