Position Summary

The Steno Secretary III for Continuing Education plays a critical role in the smooth operation of the Continuing Education Registration Office. The person in this position is responsible for deftly assisting students and faculty with a variety of needs both onsite and online, and providing clerical support to the Continuing Education team.  This role reports to the Program Manager for Continuing Education.

 

Specific Duties & Responsibilities

  • Creates a welcoming environment for students and faculty and maintains high-quality customer service with students, faculty, and staff.
  • Answers phone calls, helps walk-ins, and returns voice & email messages promptly.
  • Responsible for learning and successfully using registration, reporting, and other digital systems as needed to ensure student and instructor needs are met.  Applications include Zoom, Enrole, Informer, Canvas, Microsoft Office Suite, Teams and others as needed.
  • Provides student support, which includes but is not limited to:
    • Registers students, employees, instructors, and volunteers for classes and lectures, takes payments, processes program changes, and issues refunds.
    • Answers inquiries about Continuing Education programs, spaces, and procedures by phone, email, and in-person contact.
    • Processes transcript and certificate progress requests.
    • Verifies Membership status of registrants.
    • Prepares student packets, floral toolkits, and other resources for students.
    • Issues ID cards for Continuing Education and partnership program students.
    • Notifies students of schedule changes, course cancellations, Zoom access information, and upcoming events.
    • Maintains postings on department bulletin boards.
  • Provides faculty support, which includes but is not limited to:
    • Monitors enrollment and confirms course details.
    • Classroom set up and inventory.
    • Copies and distributes syllabi and class handouts.
    • Verifies grades and attendance.
    • Provides assistance with computer and Zoom troubleshooting.
    • Unlocks and locks classrooms as necessary.
  • Assists with Continuing Education events including lectures, masterclass workshops, graduation, orientation, Intensive Programs, and tabling events.
  • Provides clerical support for partnership programs.
  • Receives and distributes mail, paychecks/paystubs, and packages.
  • Liaises with Operations, Maintenance, and Security to ensure the safety and comfort of Continuing Education students, instructors, and staff.
  • Performs other departmental clerical and organizational duties as required.

 

Qualifications

  • Minimum Education: High School Diploma.
  • Strong organizational and interpersonal skills required.
  • Excellent written and oral communication skills are a must.
  • Must be detail-oriented and accurate.
  • Should be proficient in Microsoft Office Suite, able to learn new technology quickly, with knowledge of Learning Management Systems (e.g., Blackboard, Canvas, Moodle) a plus.
  • Customer service experience highly desirable.

 

Physical Demand & Work Environment

  • This role may require standing and/or sitting for extended periods of time and, on occasion, lifting or moving items weighing up to 20 pounds.

 

Work Schedule

  • This is a full-time union position of 35 hours per week, Monday – Friday, 9:00 am – 5:00 pm, with occasional weekends as needed.

 

Salary

  • $42,288, *($48,631)
    • *Current Garden union employees that have been employed for 2 years qualify for the higher salary rate.  If a non-Garden and non-union applicant is appointed, they will be eligible to advance to the higher incumbent rate after two years.
