Title: Department Assistant - Gastro - Norwalk Hospital - Norwalk, CT - Full time - Monday - Friday 8 hour shift 8:30am - 5:00pm
Summary:
Coordinates all scheduling with staff, attendings offices, anesthesia office, radiology and operating room daily. Verify that all documentation is complete and sent to Health Information Management. Oversee the daily clerical tasks in the section.
Responsibilities:
1. Communicates effectively with Attendings offices- by phone and fax
Criteria A: Able to use fax- enter numbers into speed dial, change print head, and confirm transmission Communicates effectively with Attendings offices- by phone and fax
Criteria B: Maintains up to date contact information for all providers and provider offices
2. Schedules block time efficiently
Criteria A: Obtains all required information from MDs' office, ensures correct patient selected from database, accurately inputs the data into OR scheduling system Schedules block time efficiently
Criteria B: Reviews records for patient registration prior to procedure date. Contacts offices when patients are not pre-registered. Schedules block time efficiently
Criteria C: Maximizes the use of block time for each physician- work with offices to arrange caseload appropriately and efficiently. Schedules block time efficiently
Criteria D: Collaborate with clinical manager and/or charge nurse to ensure appropriate staffing for all special procedures.
3. Accurately enters charges into financial system
Criteria A: Verifies correct financial number of each patient Accurately enters charges into financial system
Criteria B: Verifies accuracy of charges based on procedure documentation. Accurately enters charges into financial system
Criteria C: Enters charges accurately and within 3 days Accurately enters charges into financial system
Criteria D: Closes transactions, print records of entries, and verify entries for correctness.
4. Compiles patient documentation
Criteria A: Maintains MD electronic record database, runs various reports, keeps monthly stats for procedural volume. Compiles patient documentation
Criteria B: Responsible for checking scheduled patients, daily printing and assembling of charts. Compiles patient documentation
Criteria C: After procedures are complete- breakdown of charts, prepare chart for HIM, create daily verification sheet for HIM. Compiles patient documentation
Criteria D: Investigates/resolves any inconsistencies in documentation or missing forms with appropriate staff in a supportive manner
5. Schedules ancillary GI procedures effectively (capsule studies, pH/manometry, lactose/lactulose)
Criteria A: Ensures completeness of MD orders prior to scheduling test- including reason for exam (codes), height and weight when needed, medication orders when needed, Schedules ancillary GI procedures effectively (capsule studies, pH/manometry, lactose/lactulose)
Criteria B: Coordinate staff availability with clinical manager Schedules ancillary GI procedures effectively (capsule studies, pH/manometry, lactose/lactulose)
Criteria C: Coordinate scheduling with patient/family Schedules ancillary GI procedures effectively (capsule studies, pH/manometry, lactose/lactulose)
Criteria D: Provide patient/family with both verbal and written instructions/directions prior to their procedure
6. Maintain scheduling and workflow by preparing procedure packets, ensure documentation completeness. Maintain ordering of supplies, entry of IT and facilities tickets.
7. Fulfills all compliance responsibilities related to the position.
8. Maintains and models the organization's values.
9. Demonstrates regular, reliable, and predictable attendance.
10. Performs other duties as required
Education Skills Experience:
High School graduate. Microsoft Word, Excel, Outlook, and Power Point. Works on multiple projects. Strong written and verbal communication, and organizational skills. Requires 1+ years experience providing administrative support. Associates degree preferred.
