SUMMARY: Assumes responsibility for and participates in all phases of the nursing, 
technician, and secretarial schedule system in order to maintain the day-to day operations of the unit. Demonstrates excellence in organization 
and communication skills.
RESPONSIBILITIES AND STANDARDS
Responsibility I 
1. Coordinates and reviews the computer schedule with the master schedule on a daily basis to 
maintain adequate daily staffing on the unit.
1.1 Reviews daily staffing as reflected on the master schedule and ANSOS schedule for each 
shift and updates for accuracy and core staffing numbers. Reports discrepancies and 
vacancies to Nurse Manager.
1.2 Contacts RN’s, Perinatal Technician’s and USY’s to cover vacancies, sick calls, holidays, 
personal days and vacations. Record on the staffing call log sheet, notifies Nurse 
Manager or Clinical Coordinator of coverage.
1.3 Completes accurate cost center assigning of all staff including MOT/VOT and enters this 
into ANSOS System.
1.4 Assists Staffing Manager/Administrative Nurse Manager in placement of qualified staff to 
appropriate areas 
Responsibility II
2. Collaborates with Nurse Manager/Clinical Coordinators regarding weekly and monthly 
schedules.
2.1 Generates weekly schedule for review of accuracy, reports discrepancies to the 
Nurse Manager.
2.2 Project staffing needs for the month and week, make calls to cover vacancies.
2.3 Enters staffing change slips in the ANSOS system in a timely and accurate manner.
2.4 Develops a four-week time schedule for the unit to meet daily staffing 
requirements and skill mix addressing discrepancies with the Nurse Manager.
2.5 Enters four-week time cycle in ANSOS system.
2.6 Assists in the calculation and tabulation of monthly mandatory and voluntary overtime 
data.
Responsibility III
3.1 Enters all approved annual vacations in the long-term request section for the controller.
3.2 Maintains status changes of nursing staff in the ANSOS System.
3.3 Maintains/updates staff call-out list.
3.4 Audits patient charges for accuracy and completeness as requested per the Unit Office 
Manager. Collaborates with Office Manager, Nurse Manager and Clinical Coordinators 
for incomplete charges and/or discrepancies.
3.5 Enters bonus shifts in the ANSOS system on a daily basis
3.6 Updates staff education tracking sheets as requested by Nurse Manager
Responsibility 1V
4. Maintains appropriate communication information according to department and medical 
center goals and policy.
4.1 Screens and refers all incoming telephone calls and ensures that accurate and timely 
communication is facilitated and that the department/hospital is presented in a positive 
and courteous manner.
4.2 Answers telephone in a timely and courteous manner, identifying self and department at 
all times.
4.3 Records accurate information regarding staffing schedules and enters into the scheduling 
system.
4.4 Responds promptly and accurately to staffing inquiries, and based upon personal 
knowledge routes to appropriate department/manager.
Responsibility V
5. Promotes a safe and efficient working environment by adhering to hospital and departmental 
policies and procedures.
5.1 Adheres to Infection Control and Quality Assurance Policies and Procedures at all times.
5.2 Maintains appearance of work areas according to department standards at all times.
5.3 Adheres to all safety regulations reporting any variances to supervisor immediately.
5.4 Attends and actively participates in all in-services as required.
5.5 Reports immediately all incidents, irregularities, unsafe conditions, equipment, and/or 
unusual occurrences to supervisor.
Responsibility VI
6. Guest Relations: Demonstrates regard for the dignity and respect of all patients, family 
members, visitors and medical center personnel as defined in the philosophy of Vassar Brothers 
Medical Center
6.1 Displays a caring and courteous attitude and represents the medical center in a positive 
manner to all persons noted above.
6.2 Promotes and contributes positively to intra-departmental and inter-departmental 
relationships with no more than two complaints in a six-month period.
6.3 Maintains the confidentiality of employees and departmental information with no 
infractions
6.4 Adheres to departmental and medical center dress codes as observed by supervisor, and 
wears a VBMC picture identification badge, 100% of the time.
6.5 Demonstrates willingness to assist co-workers and/or to accept additional assignments as 
requested to support the department's efficiency as observed by the supervisor
6.6 Responds to all supervisor's requests for information and assists in a timely and courteous 
manner.
6.7 Demonstrates a high level of mental and emotional tolerance and even temperament when 
dealing with people; uses tact, sensitivity and sound judgment at all times
JOB QUALIFICATIONS:
 Education: One (1) year of college or specialized post high school training in 
computers/secretarial skills.
 Experience: Requires a minimum of one and up to three years of experience, which require 
secretarial/computer and interpersonal skills. Good working knowledge of office 
equipment and Microsoft applications.
 License: N/A
