Summary:

Responsible for performing various administrative, secretarial and clerical duties. Understands and follows the organization's policies, procedures and standards. Is an independent worker, meeting the day-to-day needs of the Department. Participates in the department's and organization�s performance improvement activities.

Responsibilities:

1. Greets visitors, directs visitors appropriately; maintains the communication flow of the office. 

2. Prepares reports, memos, correspondence, meeting minutes, special projects, etc. 

3. Reviews and edits all written materials. 

4. Copies and distributes all forms of communication to patients, physicians, and hospital staff as directed. 

5. Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately. 

6. Sorts, logs and distributes all incoming mail; identifies mail that needs immediate attention. 

7. Maintains an organized, efficient filing system.

8. Records, prepares and distributes meeting minutes. 

9. Orders supplies and printing weekly. Assists in cost containment through appropriate ordering and conserving of supplies and equipment. 

10. Interacts professionally with all visitors, within the department/office and with other departments. 

11. Demonstrates the ability to be flexible and organized during stressful situations.

12. Manages and operates equipment safely and correctly. 

13. Transcribes from dictated or written material minutes, memoranda, policies, procedures and reports. 

14. Accurately enters monitoring and evaluation and study information into database software. 

15. Assists Managers by providing clerical support for quality initiatives as directed. 

16. Assists in the development and coordination of performance improvement reports to the Quality Council. 

17. Distributes performance improvement/quality management, regulatory compliance and JCAHO preparedness materials as directed. 

18. Accepts other duties as assigned. 

Education: H.S. Diploma required
