Summary: Performs a wide variety of administrative and secretarial duties for the Senior Leader and regularly requires independent judgment and discretion. Interface successfully with all levels of Nuvance Health's diverse constituency including patients, patients' families, employees, Board of Directors and Medical Staff.
Responsibilities:
1. Coordinates all administrative communications to facilitate efficient operations.
2. Maintains the Senior Leader�s daily appointment calendar, makes travel and lodging arrangements as required.
3. Types correspondence accurately, such as letters, memorandums, minutes, presentations, reports, etc. in a timely manner. Composes letters/memos on a regular basis to external and internal parties regarding forwarded/requested information, and as required to complete assigned projects.
4. Completes/tracks check requests as required to ensure accurate/prompt payment, i.e., subscriptions, membership dues, conference registrations, etc.
5. Ensures that all correspondence, reports, Nuvance Health Board and Committee minutes are completed in a timely and accurate manner. Attends monthly Board of Directors meetings, takes minutes and ensures their accuracy and compliance with all regulatory agencies.
6. Ensures appropriate phone coverage and provides back up coverage for others in department as needed.
7. Maintains appropriate departmental records and establishes departmental filing systems to ensure the expeditious retrieval of information. Maintains organized files of all corporate documents, By-Laws and Board Minutes.
8. Completes and maintains time sheets and attendance records bi-weekly for self and Senior Management Team. Contacts purchasing or vendor promptly the repair of office equipment. Tracks all travel, seminar, entertainment, lodging and meal expense.
9. Maintains proper levels of office supply inventories and maintenance of office areas and copiers to allow staff to complete assigned responsibilities.
10. Maintain and model the organizations values.
11. Demonstrates regular, reliable and predictable attendance.
12. Performs other duties as required.
Other Information:
Education/Experience required:
- Associate's degree or equivalent experience
- Microsoft Word, Excel, Outlook, PowerPoint
- 5+ years' experience supporting Senior Level Management
- Maintain confidentiality
- Ability to work under pressure, meet deadlines and multitask
- Strong written and verbal communication, and organizational skills
Salary Range: $26.48 - $50.49 hourly (Pay rate per years of relative experience)
