Summary:

 

The Health Information Management (HIM) Supervisor oversees the daily operations of the Health Information Management department to ensure accurate, timely, and compliant management of patient health records in accordance with federal and state regulations, accreditation standards, and organizational policies. This role provides leadership for core HIM functions, including chart completion, release of information, document imaging, transcription oversight, documentation integrity workflows, and vital records processing. The HIM Supervisor serves as a key resource for staff, clinicians, and leadership, promoting high-quality documentation, regulatory readiness, and exceptional service to patients and internal stakeholders.

Responsibilities:

 

1. Provide daily operational leadership for all Health Information Management (HIM) functions, ensuring accuracy, efficiency, and compliance with organizational standards.

2. Supervise and support HIM staff, including hiring, scheduling, training, coaching, and performance evaluation.

3. Oversee chart assembly, analysis, deficiency management, physician chart completion, transcription oversight, scanning, and document imaging workflows.

4. Manage the physician deficiency process, including delinquency tracking, notifications, suspension workflows, and physician education on documentation and EHR processes.

5. Ensure compliance with HIPAA, CMS, Joint Commission, and state regulations across all HIM operations.

6. Maintain the integrity, completeness, and legal soundness of the health record.

7. Oversee Release of Information (ROI) operations, ensuring timely, accurate, and compliant processing of patient information requests.

8. Verify adherence to authorization requirements, identity checks, disclosure documentation, and audit trails.

9. Monitor productivity, quality metrics, turnaround times, and vendor performance, implementing workflow improvements as needed.

10. Conduct routine audits of documentation quality, chart completeness, ROI processes, and privacy-related activities.

11. Support privacy investigations and coordinate corrective actions in collaboration with Compliance and Privacy leadership.

12. Troubleshoot HIM-related EHR issues and collaborate with IT on upgrades, workflow improvements, system enhancements, and digital record maintenance.

13. Oversee vital records activities, including birth certificate and death certificate processing, ensuring compliance and staff certification.

14. Prepare and analyze operational reports, identifying trends and improvement opportunities related to workflow, compliance, and documentation quality.

15. Promote teamwork, accountability, service excellence, and continuous improvement within the HIM department.

 

Education Skills Experience

·High School or equivalent required. Associate’s degree in health information management, Health Informatics, or related field preferred.
·RHIT, RHIA, or equivalent credential (or eligibility).
·3+ years of experience in health information management or hospitalbased HIM operations.
·Previous supervisory or lead experience.
