Medical Data Coordinator
Description
Purpose: Supports and promotes goals and objectives of the Imaging and Radiology Departments of Vassar Brothers Medical Center. Is responsible for providing customer service to internal and external customers, including medical center personnel and patients, physician offices, outside medical facilities, and legal entities. Performs work activities related to radiology data management, archiving, and distribution. Including image and report management, electronic image media creation, electronic image transfer, and mammography and radloop tracking functions.
Essential Responsibilities
- Communicate and collaborate with internal and external customers (e.g., staff, doctors, patients, physician offices, outside medical facilities, legal entities, insurance companies, etc.) utilizing superior telephone technique, customer service etiquette, e-mail and web communication skills, and service recovery to ensure an integrated approach to service.
- Ensure privacy and security of all protected health information accessed and released in compliance with regulatory standards and company policies at all times, inclusive of proper documentation.
- Process requests to release information from this hospital as well as other healthcare sources that are sent to this hospital for follow-up patient care in a timely and accurate manner.
- Facilitates retrieval of radiology reports for review by authorized individuals, inclusive of faxing & electronic transmission of reports.
- Utilizes Powershare functionalities to coordinate record transfer to and from external providers and PACS to access patients' studies and burn CDs and upload outside imaging, following strict policies and procedures to ensure accurate, complete, and timely access.
- Document all requests and inquiries according to department standards. Maintain accurate and complete databases to account for all disclosures.
- Performs all mammography tracking functions; generating, tracking and mailing patient result letters, following up on undeliverable addresses, entering, maintaining and developing statistical information and reports, retrieves and enters pathology reports/information on all abnormal mammography exams, assisting with call-backs, retrieves prior mammography files, maintains all necessary records and data entry into the mammography tracking system.
- Performs radloop tracking functions; review and maintenance of radloop worklist and management of actionable findings follow up. i.e., generating and tracking recommended follow up via letter, text, or email, maintaining and developing statistical information and reports as requested utilizing the systems functionality and MIPS technology.
- Maintains competence with Cerner, PACS, Powershare, Microsoft Office and other computer programs and office equipment pertinent to job title.
Education and Experience Requirements:
Education: High School Diploma or Equivalent.
Preferred: Previous medical office experience.
Work Experience: Working knowledge of Microsoft Office Suite
Preferred: Previous experience with RIS and PACS
