About the role
Reporting to the Senior Administrative Coordinator, you will provide administrative and logistical support for curriculum delivery, including coordination of teaching activities, meetings, and events, general office support, and maintaining shared spaces.
Key Responsibilities
- Provide effective administrative support to academic staff.
- Assist with the delivery of the Doctor of Medicine curriculum and associated materials.
- Format the curricular material and documents.
- Coordinate the logistics of the School’s lecturer program.
- Assist with School’s procurement process and invoice payments for Finance
- Maintaining student attendance for each compulsory component.
- Organise meetings and events.
- Coordinate academic room bookings.
- Provide secretarial support to committees.
- Provide regular reception support and backup support to other administrative staff within the School during peak and vacation periods.
Qualifications, skills & experience
- Completion of a Diploma level qualification with relevant work-related experience and/or an equivalent combination of relevant experience/training.
- Demonstrated administrative experience, preferably in tertiary or other education sectors.
- Demonstrated experience in providing secretarial support for committee meetings, including the preparation and delivery of agendas, minutes and associated documents.
- Demonstrated competency in various software packages including the Microsoft Office Suite, Adobe, timetabling programs, and Learning Management System.
- Highly developed communication and interpersonal skills with a strong customer focus and the ability to liaise effectively with tact and discretion.
- Strong analytical skills enabling the identification/anticipation and resolution of issues.
- Ability to exercise initiative and judgment, and work in a flexible and dynamic environment with competing priorities to meet deadlines.
- Ability to collaborate across multifunctional teams, providing a high level and responsive service.
- Proven record of preparing high quality documentation with excellent accuracy and attention to detail.
