Student Administration at the University of Notre Dame provides specialized expertise and operational support across student administration, services, and essential regulatory, policy, and compliance areas, supporting academic decisions within Faculties, Schools, and other university departments.
 
About the role

The Student Administration Coordinator, Graduations oversees graduation tracking, approvals, and conferral processes, ensuring compliance with governance standards. The role also supports graduation ceremonies by managing documentation and student eligibility, working closely with the Events team. Additionally, it contributes to team efficiency and responds to student enquiries related to conferral and graduation.

Key Responsibilities

  • Lead and support the coordination of the national graduation team, in partnership with the Senior Team Leader, to effectively manage all aspects of the University's graduation review and conferral process.
  • Provide coordination and supervision of the national graduation team, with support from the Senior Team Leader Student Administration, to effectively manage the University's graduation review and conferral process.
  • Coordinate and supervise the national graduation team with support from the Senior Team Leader.
  • Oversee graduation review and conferral processes across the University.
  • Ensure compliance with university policies and regulatory requirements (HESA/TEQSA).
  • Provide training, guidance, and expert advice to staff and stakeholders.
  • Manage secure handling of graduation documentation and act as an escalation point for enquiries.
  • Support the development of clear graduation communications and provide high quality service to students and staff.
  • Assist Schools with preparing governance reports and committee submissions.
  • Continuously seek opportunities to improve graduation and conferral processes by applying best practice principles and streamlining workflows.

Qualifications, skills & experience

  • Completion of a degree with relevant work experience, or an equivalent combination of education and experience.
  • Demonstrated experience in administrative roles, preferably within the higher education or academic sector.
  • Strong teamwork skills with the ability to work independently and take initiative.
  • Effective time management and organisational skills, with the ability to meet tight deadlines.
  • High-level computer literacy with strong attention to detail.
  • Ability to exercise sound judgment, discretion, and professionalism in decision-making.
