The University Secretary’s Office promotes and supports good governance and decision-making across the University and supports statutory, regulatory and compliance obligations.
About the role
This position will be responsible for management and improvement of
the way the University deals with records management. The role will be responsible for working with relevant stakeholders within the organisation to build an improved records management framework, including developing best practice policies, processes, and systems. The role requires active collaboration across academic and service areas to help enhance the understanding, as well as to drive change, toward a robust record management culture (including an appreciation of the University’s information assets). The position will be accountable for identifying solutions, and utilising strong business acumen & expertise to drive effective records management practices across the University.
Key Responsibilities
- Lead the development and ongoing maintenance of a Records Management function and framework within the University
- Effectively manage records management deliverables, including through planning, scheduling, monitoring, and reporting on Records Management timelines and milestones, providing regular progress updates to stakeholders and relevant governance/management committees, identification and mitigation of risks, and management of budgets.
- Initiate appropriate external stakeholder engagement, including with consultants as required to achieve timelines and deliverables.
- Provide strategic advice to the relevant governance and management committees on records management models, and actively and positively participate in team and management meetings.
Qualifications, skills & experience
- A relevant post graduate qualification and extensive experience in record keeping / information management in medium to large organisations or an equivalent combination of relevant experience
and/or education/training - Demonstrated high level project management experience overseeing complex projects involving a broad range of stakeholders in record keeping / information management, and a track record of delivery within
expected timeframes and budgetary limits - Advanced computing skills including a proficiency in MS Officer Suite and application of best practice project management principles, as required
- Demonstrated ability to prepare clear management reports to influence decision-making and to draft effective policy documentation
