About the office
The Admissions Office is primarily responsible for assessing and processing applications to the University, through multiple channels and ensuring timely response to applicants. The Office also provides an important internal client service role to internal business areas including Student Administration, Faculties, and Finance.
About the role
The Senior Admissions & Reporting Officer is responsible for creating and maintaining documentation on all processes and reporting relating to student data to support the student recruitment functions of the university. The position will drive data analysis to provide business critical reporting and support to admissions, including liaising with stakeholders and product owners of other related systems to implement changes.
Reporting to the National Manager, Admissions, the position will have a national focus that enables collaboration linking campuses and work functions to consolidate and streamline student data across campuses located in Western Australia or New South Wales.
Key Responsibilities
- Create and maintain documentation on all processes and reporting to ensure the accurate production of data sets linked to domestic student recruitment.
- Develop and maintain records for data extraction and analysis across a range of student recruitment channels.
- Support effective data management and control across Admissions and Student Administration, including supporting data owners with data quality and security.
- Contribute to the reporting function including the production of weekly, monthly, and intake-based data reports.
- Identify trends and conduct data analysis to inform and guide real time admission decisions.
- Undertake ad-hoc and post-hoc analysis, respond to data requests and provide support and advice on the extraction and use of data from various data sources.
- Analyse the potential impacts to current reporting and liaise with stakeholders and product owners of other systems to implement the changes.
- Conduct assessment of applications, including interpretation and evaluation, coordinate the generation of offers and taking responsibility as required in following up with applicants to ensure records are complete and up to date, exercising quality control over all communication to and with applicant.
- Contribute to the progressive review and refinement of student application and assessment, including the associated workflow and communications.
- Assist with training and mentoring staff members within the Admissions team, including in the use of PeopleSoft and other relevant systems and programs.
Qualifications, skills & experience
- Relevant tertiary qualifications and extensive relevant experience.
- Knowledge of or experience in admission or student administration roles in the Higher Education sector, preferably linked to recruitment or target driven environments.
- Demonstrated and strong experience in data processing, procedure documentation analysis, and reporting including data extraction, querying, cleansing and development/maintenance of data models.
- Strong technical skills including experience and/or understanding with writing SQL queries and Power BI Dax formulas and advanced Excel skills.
- Capacity to analytically investigate issues with data sets, reconcile discrepancies and validate data.
- Ability to work effectively with diverse internal and external stakeholders, influencing and negotiating with them to achieve a positive outcome.
- Strong commitment to presenting data compilations accuracy, clarity and evidence in data compilation.
- High-level written and verbal communications skills with evidence of producing clear and concise written communications with a high level of accuracy and attention to detail.
- Excellent organisational and time-management skills with the ability to plan and prioritise tasking and work within tight timeframes in a fast-paced environment.
- Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work autonomously and collaboratively as part of a team.
