About the role

The Senior Administration Officer undertakes a pivotal role in supporting the coordination of clinical placements across the School of Health Sciences.

Key Responsibilities

  • Provide high level administrative support to the Clinical Education Office, including scheduling meetings, preparing documentation such as compiling reports, correspondence, submissions, statistical summaries and data sets, other similar material as required and managing communication with key stakeholders.
  • Assist with and contribute to submissions, statistical summaries, data sets and report compilation and other material related to placements and student outcomes as required.
  • Support procurement and finance processes as required
  • Respond to enquiries from students, staff, and external partners, providing timely and accurate information on clinical placements.
  • Coordinate and manage administrative requirements of clinical placements for Health Sciences students, ensuring alignment with curriculum and accreditation standards.
  • Liaise with healthcare providers and industry partners to establish and maintain placement agreements and foster positive relationships.
  • Manage student placement information

Qualifications, skills & experience

  • Degree, or Advanced Diploma with 1 year of work experience, or Diploma with a minimum 2 years of relevant administrative experience, or;
  • Certificate IV with extensive work experience in Administration or a Clinical Setting.
  • Demonstrated administrative experience with advanced level of organisation and computer skills including a good knowledge of the Microsoft Office suite as well as the capacity to learn and use in-house administrative database systems
  • Highly developed communication skills, with the ability to build relationships, engage and influence a diverse range of stakeholders
  • Excellent operational, organisational and administration skills with the ability to prioritise tasks and manage competing deadlines in a dynamic environment.
  • Proven record of preparing high quality documentation with excellent accuracy and attention to detail
  • Demonstrated high level of competency in using administrative and management software to track and report on placement data such as Microsoft Office Suite (Word, Excel, PowerPoint Visio), Adobe, In-Design, Timetabling and placement database programs such as SONIA Allocate, CELCAT and video-conferencing tools
