About the role

Reporting to the Administration Coordinator you will work in collaboration with Academic and Professional colleagues to provide effective and efficient administrative support for the National School of Medicine.

Key Responsibilities

  • Provide effective and efficient administrative support within National School.
  • Coordinate meetings, prepare minutes and organise correspondence for meetings.
  • Compile and assist with reports, typing of correspondences, submissions, statistical summaries and data sets, and other material as required.
  • Support and maintain internal databases and registers and management of day-to-day requirements of the office.
  • Assist the Administrative Coordinator and Senior Administrative Officers with the administration of policies, procedures, guidelines and forms.
  • Liaise with various leaders across the University departments to ensure collaboration.

Qualifications, skills & experience

  • Completion of a diploma level qualification, or an equivalent combination of relevant experience and/or education/training.
  • Demonstrated administrative experience in a tertiary or other education sector, or the equivalent in a relevant large organisation.
  • Demonstrated competency in various software packages including the Microsoft Office Suite (Word, Excel, Visio), Adobe, In-Design, and timetabling programs (Allocate, Sonya).
  • Highly developed communication (oral and written) and interpersonal skills with the ability to liaise effectively with tact and discretion.
  • Ability to exercise initiative and judgment as appropriate, and work in a flexible and dynamic environment with competing priorities to meet deadlines.
  • Ability to collaborate across multifunctional teams, providing a high level and responsive service.
  • Proven record of preparing high quality documentation with excellent accuracy and attention to detail.
