Executive Assistant

The Executive Assistant provides administrative support to the operations executive team, playing a critical role in ensuring the efficient management of the daily activities of the operations executive team. This position combines traditional administrative duties with analytical responsibilities, including data analysis, reporting, and project tracking. The ideal candidate will be meticulous, proactive, and able to manage a wide range of tasks that support both the executive's daily needs and the strategic goals of the organization.
 
Essential Job Functions:
  • Manage communications such as emails, calls, and memos, prioritizing urgent matters and responding appropriately.
  • Schedule and prepare for meetings, including drafting agendas, gathering materials, and tracking action items. Attends meetings, take minutes and assist with follow-up, as requested.
  • Analyze data and prepare reports, presentations, and dashboards for executives. This includes compiling information from various departments, creating summary reports, and providing insights to assist in decision-making.
  • Maintain and organize both digital and physical files, ensuring that all documents are easily accessible and up to date. Perform data entry and organize information for future retrieval.
  • Assist in tracking the progress of ongoing projects, ensuring timelines are met, and tasks are completed. Provide analysis of project performance, resource allocation, and other key metrics.
  • Write and proofread various documents, including reports, correspondence, and presentations. Ensure that all materials are accurate and professionally presented.
  • Manage confidential and sensitive information with a high level of integrity, professionalism, and discretion.
  • Identify opportunities for process improvements and provide analytical insights to improve efficiency within the executive’s operations.
  • Other duties as required.
Specific Educational/Vocational Requirements:
  • Bachelor’s degree in business, finance, or a related field preferred. Relevant certifications or training in data analysis or project management is a plus.
  • Minimum of 5 years of experience in an executive assistant, administrative, or similar role, with a focus on analytical or data-driven tasks.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams) and experience with data analysis tools (e.g., Google Analytics, Tableau, or other business intelligence software). Strong spreadsheet and data manipulation skills required.
  • Ability to analyze complex data sets and present insights in an easily understandable format. Experience in creating reports and dashboards to assist executives in strategic decision-making.
  • Excellent written and verbal communication skills, with the ability to craft clear, concise reports and present data effectively.
  • Exceptional organizational abilities, with the capacity to manage multiple tasks simultaneously, prioritize responsibilities, and meet deadlines.
  • Ability to anticipate needs, resolve issues proactively, and provide analytical solutions to challenges as they arise.
Physical Requirements:
  • Ability to sit for extended periods (up to 8 hours) and use a computer, including typing, data entry, and viewing screens.
  • Ability to lift up to 20 pounds, walk between office areas, and occasionally bend or reach for materials.
  • Frequent use of hands for operating office equipment (e.g., keyboard, mouse, copiers, and printers).
  • Ability to engage in verbal communication, both in person and over the phone, and actively listen during meetings and discussions.
