Position Summary:

The Market Reservation Assistant is responsible for intake and clearance of insurance submissions, and assignment of submissions to appropriate business units.

This is a 12 month contract role. 

What you will be doing:

  • Effectively process and direct submission requests:
    • Enter submissions into the clearance system, ensuring accuracy and completeness of information on a timely basis, and with thorough attention to detail.
    • Assist identify missing information for the Underwriter, or when appropriate, follow up with Broker directly.
    • Ensure overdue work is escalated as needed in order to manage volume and service levels.
    • Manage the submission queue to ensure submissions are logged efficiently and accurately at all times.
  • Complete a variety of technical, administrative and support duties:
    • Provide administrative support, such as sending emails and notifications to assist in account maintenance and effectively communicate with customers.
    • Keep Underwriter assignment lists and other documentation up to date.
    • Answer telephones and ensure phone queue coverage at all times.
    • Assist in data editing, verification, and reconciliation activities.
  • Manage and execute daily work processes within the time frames specified.
  • Assist, when required, in re-distributing work within the team to achieve individual service standards.
  • Assist in producing monthly service reports to monitor service levels.
  • Provide back-up coverage for other Market Reservation Assistants to ensure the region runs smoothly and efficiently.
  • Familiarize and apply best business practices towards national service and quality standards.
  • Assist in audits to confirm achievement of corporate standards for data quality and service.
  • Maintain regular communication with the Business Development Managers (BDMs) to promote and manage our customers’ needs.
  • Other duties as assigned.

What we are looking for:

  • Post-secondary school education and/or equivalent on-the-job experience.
  • Previous office administration experiences an asset.
  • Excellent keyboarding skills.
  • Ability to work within a PC oriented environment, including familiarity with e-mail and Internet skills. Competence with Excel and other Microsoft Office Suite products.
  • Established customer service skills.
  • Ability to produce accurate, error free work.
  • Strong detail-oriented approach to work with ability to multi-task.
