Position Summary:
The Claims Service Representative is responsible for providing prompt and efficient handling of a variety of technical and administrative support services to adjusters and telephone claims reporting while maintaining data quality and service levels.

What You Will Be Doing:

Responsible for checking and receiving new claims within the system, scanning correspondence and inputting data for distribution to division heads in order to facilitate the assignment of new claims.

Assist and support the adjuster in the new claims process within the system including the set up of the physical claim file in order to establish a record of the claims activity.

  • Answer incoming inquiries promptly and professionally, return phone calls same day.
  • Records new claim data taken orally or by hard copy from policyholder and accurately inputs information into the system.
  • Track and follow up on client issues/concerns ensuring all issues are tracked accurately and completely, followed through to resolution acting as a liaison with all involved parties.
  • Process all financial transactions, including reserves, payments, recovery activity, etc. as directed by the adjuster in order to maintain all relevant financial transactions within the system while assisting the adjuster in ensuring prompt service.

 Provide effective technical, and administrative support 

  • Provide various administrative duties such as photocopying, faxing, scanning, typing memos and letters, notifications to reinsurers, etc. to assist adjusters in file maintenance and effective communication.
  • Ensure department equipment is functioning and supplies are available
  • Enter, code and transcribe data as required.
  • Perform data editing, verification, and reconciliation activities.
  • Sort and distribute mail and faxes
  • Monitor multiple department email boxes, processing incoming requests (i.e. printing files and distributing to appropriate parties within the department; matching invoices to files and issuing appropriate payment).
  • Maintain assigned spreadsheets/logs ensuring information is kept up to date as well as ensuring the integrity of calculations and updating same within the spreadsheets.

Maintain all electronic and paper filing to enable the claims staff to quickly and effectively locate their files

  • Controls and monitors files for off-site storage and retrieval.
  • Pulls and distributes diary files / mail and coordinates searches for outstanding mail and missing files to ensure files are reviewed on a timely basis.
  • Identifies and retrieves claim files for monthly service reviews, file reviews and any audits.
What We Are Looking For:
  • Post-secondary school education and/or equivalent on the job experience.
  • Previous experience in an office environment is an asset
  • Ability to work within and adapt to PC oriented environments, including familiarity with e-mail and Internet skills. Competence with Microsoft Office components is an asset.
  • Excellent filing, keyboarding and data entry skills.
