About the Role
We’re looking for an experienced HR Compliance Manager to join our HR team and build our compliance function from the ground up. In this role, you’ll serve as the point of contact and owner of all HR compliance activities, ensuring our people programs, policies, and processes meet regulatory requirements and internal audit standards. You’ll lead policy management, oversee HR-owned controls for audits, manage immigration and visa processes, and develop best practice compliance programming across the employee lifecycle. You’ll partner closely with HR, Legal, IT, Finance, and Security to maintain compliance with employment laws, internal frameworks (SOC II, ISO, FedRAMP), and data privacy regulations (GDPR, CCPA). You’ll also drive training, metrics, and reporting to strengthen awareness and accountability across HR and the business. Location - We are flexible on remote working from home, if you are located in the USA and reside in one of the following states – CA, CO, CT, FL, GA, *IL, KS, MA, ME, NC, NJ, NY, OR, TN, TX, VA, and WA. Preference/Priority will be given to candidates based in Austin, TX / Tampa, FL, or those willing to relocate unassisted.
 
What You’ll Be Doing
  • Ensure compliance with all federal, state, and local employment laws, as well as global labor regulations where applicable
  • Monitor legislative changes and assess implications for HR policies and practices
  • Serve as primary point of contact for HR-owned controls related to SOC II, ISO, FedRAMP, and financial audits
  • Maintain compliance calendars, conduct internal audits, and oversee remediation of gaps
  • Draft, update, and manage employee handbooks, HR policies, and procedures
  • Ensure timely communication and rollout of new or updated policies
  • Partner with HR Managers and other functions to embed compliance into day-to-day HR practices
  • Manage visa and immigration processes, ensuring compliance with applicable laws
  • Coordinate with external counsel on filings, renewals, and audits
  • Track and maintain accurate documentation of employee work authorization statuses
  • Partner with Legal and IT to ensure HR compliance with GDPR, CCPA, and other data privacy frameworks
  • Oversee secure handling of employee records and access controls in collaboration with Security
  • Support ethics and whistleblower programs, including intake, escalation, and remediation of HR-related concerns
  • Maintain and enhance compliance training and communication programs for HR and business leaders working partnering closely with the training team
  • Create and track KPIs, dashboards, and metrics to measure compliance program effectiveness
  • Conduct risk assessments, incident investigations, and ensure proper documentation and reporting
  • Design scalable, best practice HR compliance processes across the employee lifecycle
  • Automate and streamline compliance workflows for efficiency and accuracy
 
About You
  • 7+ years of experience in HR compliance, HR operations, or related legal/audit roles
  • Strong knowledge of U.S. employment laws and multi-state compliance requirements (global knowledge of employment laws strong plus)
  • Experience with compliance frameworks such as SOC II, ISO, and FedRAMP preferred
  • Background in immigration/visa management
  • Familiarity with data privacy regulations (GDPR, CCPA) and related compliance programs
  • Skilled in policy development, audit readiness, and compliance reporting
  • Strong cross-functional partnership skills with ability to influence at all levels
  • Detail-oriented, analytical, and proactive in identifying risks and driving solutions
  • Able to thrive in a dynamic, high-growth, global environment and build a function from scratch

*Due to operational policies, NinjaOne is unable to hire for this role within the city limits of Chicago. We will consider all qualified candidates who reside outside of the city proper or are willing to self-relocate.  
  
Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to location, market demands, experience, job-related knowledge, and skills. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage and PTO. For roles based in California or Colorado, the base salary hiring range for this position is $90,000 to $115,000 per year.  For roles based in New York, the base salary hiring range for this position is $90,000 to $115,000 per year.
